Job Description
Enrollment Events Support Specialist The Rector & Visitors of the University of Virginia $60,000- $65,000. remote work United States, Virginia, Charlottesville 1215 Lee Street (Show on map) Mar 21, 2026 The Enrollment Events Support Specialist is responsible for the planning, coordination, and execution of all major enrollment-related events, ensuring a seamless, welcoming, and well-organized experience for prospective students, families, counselors, community partners, and campus colleagues. This role serves as the central point of coordination for enrollment events, providing leadership on logistics, timelines, space coordination, and cross-unit collaboration. In addition, the Enrollment Events Support Specialist supports recruitment, outreach, and partnership activities across the enrollment lifecycle. The Enrollment Events Support Specialist plays a critical role in advancing Enrollment's goals by delivering events that reflect institutional values, support recruitment and access efforts, and enhance the overall student and family experience. Key Responsibilities Enrollment Event Planning & Execution Lead the end-to-end planning and execution of major enrollment events, including but not limited to: Admission open houses and yield events Admitted student programs Counselor and advisor programs Outreach and access events Transfer and community college events Special initiatives aligned with Enrollment priorities Serve as the primary logistics lead, developing detailed event plans, timelines, run-of-show documents, and contingency plans. Plan and manage Admission daily visits, coordinating logistics and daily support. Collaborate with external partners to plan special group visits for high school groups and community-based organizations. Coordinate event logistics including space reservations, catering, audiovisual needs, accessibility accommodations, transportation, parking, signage, and staffing. Partner closely with the Office of Admission, Financial Aid, the Registrar, Commonwealth Partnerships, and other Enrollment units to ensure events align with shared goals and messaging. Collaborate with central offices (e.g., Facilities, Dining, Parking & Transportation, Police, Accessibility Services, Communications) to ensure smooth execution. Ensure all events reflect a student- and family-centered approach, prioritizing clarity, accessibility, and a welcoming experience. Support for Undergraduate and Graduate Interns Provide day-to-day support for the undergraduate and graduate intern teams, helping with timecard approval and other administrative tasks. Mentor and guide interns with care and provide and act as initial point of contact for interns. Coordinate room reservations and agendas for events such as weekly intern staff meetings and trainings. Project Management & Coordination Develop standardized processes, tools, and templates for event planning to promote consistency and efficiency across Enrollment. Manage multiple concurrent events and priorities, balancing timelines, stakeholders, and resources. Track event budgets, monitor expenses, and identify opportunities for cost-effective planning. Support assessment efforts by collecting feedback and identifying opportunities to improve future events. Communication & Collaboration Serve as a trusted partner and advisor to Enrollment leaders and colleagues on event feasibility, logistics, and planning timelines. Communicate clearly and proactively with stakeholders to set expectations and ensure alignment. Provide on-site leadership during events, serving as the primary point of contact for troubleshooting and coordination. Required Qualifications Bachelor's degree or equivalent combination of education and experience. Demonstrated experience in event planning, project management, or operations, preferably in higher education or a complex organizational environment. Availability to work occasional weekends and evenings Ability to work primarily on-Grounds in Charlottesville, with limited opportunities for remote work. Strong organizational and time-management skills with the ability to manage multiple projects simultaneously. Excellent communication and interpersonal skills; ability to work collaboratively across teams and departments. Experience coordinating logistics, vendors, and timelines with a high level of attention to detail. Preferred Qualifications Experience supporting enrollment, admissions, student services, or outreach initiatives in higher education. Experience managing event budgets and tracking expenses. Commitment to access, equity, and inclusive practices in event planning.
