This position plays a key role in ensuring the efficient day-to-day operations of the office, managing communication, scheduling, documentation, and coordination between departments, clients, and vendors. The ideal candidate will be highly organized, professional, detail-oriented, and capable of handling confidential information with discretion. Key Responsibilities Administrative Support Manage executive schedules, appointments, and meetings; prepare necessary materials and take detailed minutes. Draft, proofread, and edit correspondence, memos, reports, and presentations. Maintain organized filing systems, both physical and digital, ensuring documents are up to date and easily accessible. Handle phone calls, emails, and inquiries professionally, prioritizing and directing them appropriately. Prepare and manage company documents such as licenses,certifications and compliance paperwork. Office Management Oversee general office operations including supplies, maintenance, and vendor coordination. Maintain records related to company licenses, certifications, and insurance renewals. Support onboarding processes and maintain updated employee files in coordination with Human Resources. Support leadership with meetings, training and events set up and planning. Executive Assistance Serve as liaison between executives to ensure smooth communication and workflow. Prepare agendas, reports, and presentations for leadership meetings and client engagements. Coordinate travel arrangements, accommodations, and logistics for executive staff. Maintain confidentiality of sensitive information related to company operations and personnel. Contribute to internal process improvements and administrative efficiency initiatives.
Pay:
$38,000.00 - $45,000.00 per year
