Job Description

Executive Assistant Transitions Wealth Management Executive Assistant Join the dynamic team at Transitions Wealth Management as their Executive Assistant providing basic daily office operations, administrative, and client support to leadership and advisory team. This role is client-facing in nature, serving as a primary point of contact for basic inquiries while supporting day-to-day operations of the firm. The ideal candidate is highly organized, detail-oriented, and comfortable working within a financial services environment, with a strong emphasis on accuracy, follow-through, and client service. This position is client-facing for administrative and operational needs but is not intended to replace advisor-led client conversations. Advisors remain the primary contacts for financial planning, strategy, and complex client discussions.
What you will be doing:
  • Answering incoming phone calls and respond to basic client inquiries
  • Greet and assist clients visiting the office
  • Communicate with clients to request, collect, and follow up on required paperwork
  • Coordinate client mailings and outgoing correspondence
  • Serve as a professional, welcoming first point of contact for the firm
  • Deposit checks and process incoming and outgoing correspondence
  • Open new accounts and prepare paperwork for account maintenance
  • Set up and document money movement requests
  • Monitor and manage system "action items" and workflow tasks
  • Handle trade corrections as needed
  • Maintain accurate client records and documentation
  • Support advisors with operational tasks and scheduling as needed
  • Ensure internal processes are followed accurately and efficiently
  • Maintain confidentiality of client and firm information
  • Escalates appropriately to CoS when necessary
Financial Operations Support:
Assist with IRA-related administrative tasks, including: Running Required Minimum Distribution (RMD) lists Updating IRA beneficiaries Supporting contribution and distribution documentation Coordinate paperwork related to account changes and compliance requirements What you'll need: Experience (2+ years) in a professional client facing environment as an executive assistant, or operations support role Strong attention to detail and organizational skills Excellent written and verbal communication skills Professional demeanor with clients and colleagues Ability to manage multiple tasks and prioritize effectively Proficiency with office technology and client management systems Nice to have skills: Experience in financial services, wealth management, or banking strongly preferred Working knowledge of financial concepts (IRAs, contributions, distributions, account types) is highly desirable What we offer:

From $42,000.00 per year
