Executive Assistant & Director of Operations Melanie Nemetz Team - Fostering Relationships | Keller Williams Integrity First Gilbert, AZ (Hybrid/In-Person) Competitive Salary Based on Experience Full-Time About Us The Melanie Nemetz Team - Fostering Relationships is a relationship-driven real estate team committed to delivering exceptional client experiences while building lifelong connections within our community. We are seeking a highly organized, proactive, service-minded professional who thrives in a fast-paced environment and loves creating systems, building relationships, and making things happen. This is not your typical Executive Assistant role. This position serves as the operational hub of our business, overseeing client care, transaction management, event planning, database management, marketing coordination, and administrative operations. What You'll DoExecutive & Operations Support Manage daily operations and administrative systems for the team. Create, implement, and improve processes and workflows. Maintain databases, CRM systems, and client records. Keep leadership informed of priorities, opportunities, and challenges. Coordinate office vendors, supplies, and equipment. Assist with onboarding, training, and support of administrative team members. Transaction Coordination Manage all real estate transactions from contract to close. Ensure all documents are complete, accurate, and compliant. Coordinate communication between clients, agents, lenders, title companies, inspectors, and vendors. Track deadlines and ensure smooth, on-time closings. Manage commission processing and transaction paperwork. Client Experience & Relationship Management Execute our client care and follow-up systems. Maintain and grow our client database. Coordinate client appreciation initiatives and referral programs. Manage birthday, anniversary, and home anniversary recognition programs. Create meaningful touchpoints that strengthen client relationships. Event Planning & Community Engagement Plan and execute client appreciation events, community events, and fundraising initiatives. Coordinate all event logistics including vendors, marketing, setup, and follow-up. Develop partnerships and relationships with local businesses and community organizations. Help create memorable experiences that strengthen our brand and client loyalty. Marketing Coordination Assist with listing launches and marketing campaigns. Coordinate social media, email marketing, flyers, and promotional materials. Manage MLS listings and open house postings. Work with vendors and marketing partners to maintain brand consistency.
