The Role We're hiring an Executive Assistant to the CEO•Construction Division to serve as the CEO's construction-facing execution partner. This role is construction-heavy and built for someone who can manage moving parts across multiple active projects, keep crews and subcontractors aligned, and ensure commitments are tracked and closed without the CEO needing to chase. This role is not the CEO's general/calendar EA (that is handled separately). Instead, you will "direct traffic" and support construction operations: schedules, vendor/sub coordination, documentation, and construction admin workflows while providing the CEO concise updates, decision briefs, and escalation when needed. Key Responsibilities Construction scheduling & coordination (core) Assist Project Managers with scheduling employees and subcontractors across multiple active projects to ensure milestones and deadlines are met. Produce and distribute continuously changing schedules, forecasts, and availability plans. Coordinate schedule logistics across field leadership, subcontractors, vendors, and internal stakeholders (often shifting daily). Maintain a growing database of subcontractors/trades, availability, and capacity. Construction admin, documentation, and compliance Maintain construction documentation and ensure the system of record is current and complete (BuilderTrend and/or SharePoint, as applicable). Support subcontractor COIs/licensing, monitor compliance, and maintain preferred vendor documentation. Support project procurement coordination (materials/supplies) and help prevent delays through sequencing support. Estimates, bid packages, invoices, and subcontracts (traffic + closure) Coordinate bid package distribution and subcontractor outreach, including collecting responses and tracking status. Support estimates and proposal flow by tracking what's pending, what's needed, and what's due. Assist with subcontract administration : routing agreements, collecting required docs, tracking execution status, and maintaining organized records. Support invoice routing and workflow : ensure invoices/backup are received, properly categorized, and routed for review/approval; follow up to close loops. CEO-facing executive support (construction division) Provide executive readiness for construction meetings: short prep notes, key context, risks, and decisions needed. Create detailed notes by capturing decisions/action items from select meetings; distribute recaps and drive follow-through to closure (owners + due dates). Build short decision briefs when the CEO needs to weigh options quickly (decision required, deadline, options, recommendation). Communication & client experience Serve as liaison between construction leadership, administration, subcontractors, and third parties with clear, timely communication (phone/email/text). Support client coordination and concierge communication standards (schedule confirmations, expectation setting, timely updates). What Success Looks Like (First 90 Days) 30 days: Construction scheduling is stabilized; teams know where to look; fewer surprises; follow-through is visible. 60 days: Bid/estimate/invoice/subcontract workflows are tracked and moving; documentation is organized; CEO gets clear weekly construction updates. 90 days: You operate proactively preventing misses, closing loops without constant escalation, and reducing CEO interruptions through clarity and cadence. Qualifications (Must-Haves) 3+ years of construction industry experience (scheduling, project coordination, project admin, restoration, specialty trades, etc.). Proven experience with construction/crew scheduling across multiple concurrent projects.
Strong follow-through and organization:
can track commitments to closure and maintain accountability professionally. Proficiency with Microsoft Office (especially Outlook/Excel) and comfort working in shared trackers/logs. Excellent communication and composure under pressure.
Preferred / Bonus
Points BuilderTrend, Procore, ConstructConnect, Bluebeam, ProjectSight, BuildingConnected, or similar construction platforms. Experience supporting executive leadership in a construction environment (CEO/COO/VP Ops exposure). Experience with Asana or other task management software Bilingual Spanish is a plus.
