Microsoft Teams SharePoint Full Job Description The Role:
We are a tight-knit group of partners running three companies side by side: a real estate investment and development firm, a construction defect claims and risk consultancy, and a pre-settlement litigation funding company. We need one sharp, dependable right hand to help keep all three moving — a person who can scan and file a document one minute, send out a counteroffer the next, and chase down whatever needs chasing without being asked twice. This is not a clock-watching job. It is a high-trust, high-variety seat for someone organized, tech-savvy, and genuinely hungry. The right hire grows with us — into operations, office management, or a specialized lane in any of the three businesses. Who You Are Responsible — nothing slips. You own your task list and close loops on your own. Organized — you keep documents, calendars, files, and follow-ups in order across multiple businesses at once. Tech-savvy — fluent in Microsoft 365 (Outlook, Excel, Teams, SharePoint) and comfortable using AI tools (Claude, ChatGPT) to work faster and smarter. Mac/iOS environment. A hustler — you move fast, take initiative, and figure things out. "That's not my job" is not in your vocabulary. Discreet — you will see sensitive financial, legal, and deal information daily. Total trustworthiness is non-negotiable. What You'll Do The work spans everything a top assistant handles — plus real involvement in deals and case files.
On any given day:
Manage inboxes, calendars, scheduling, and meeting prep across the partners and three businesses. Scan, name, organize, and file documents into the right systems (SharePoint, shared drives) so nothing gets lost. Draft, format, and send correspondence — including counteroffers, term-sheet markups, transmittals, and follow-up emails. Build and maintain spreadsheets, trackers, logs, and exhibit lists in Excel.
Support real estate deal flow:
organize offering materials, comps, and broker correspondence.
Support construction defect case files:
assemble exhibits, organize expert/consultant materials, and keep matter files current.
Support litigation-funding operations:
intake organization, outreach support, and CRM upkeep. Run errands and handle ad-hoc tasks — the things that keep three businesses running. Use AI tools to automate repetitive work (drafting, data entry, time/billing prep, research). Tools You'll Use Microsoft 365 (Outlook, Excel, Teams, SharePoint) AI assistants (Claude / ChatGPT) CoStar CRM and practice-management platforms Apple/Mac + iPhone. You don't need to know all of these on day one — you need to be the kind of person who picks them up fast. Room to Grow This seat is a launchpad. Pay:
