A highly respected multi-generational family office in Beverly Hills is seeking an experienced Executive Assistant to support the President & CEO across a sophisticated portfolio of investments, real estate holdings, and family office operations. About the Organization The family office oversees a diversified portfolio that includes: Real estate investments and operations Private equity and direct investments Sports and entertainment-related investments Operating businesses Family office and trust administration The office environment is collaborative, entrepreneurial, and highly team-oriented, with many employees having 10+ year tenure. Position Overview The Executive Assistant will serve as the right hand to the President & CEO, providing high-level executive and administrative support while acting as a trusted gatekeeper, strategic partner, and liaison across internal and external stakeholders. This individual will help manage the day-to-day flow of information, priorities, scheduling, communications, reporting, and special projects while maintaining the highest degree of confidentiality and professionalism. This is a fully onsite role based in Beverly Hills. Key Responsibilities Executive Support Manage an active and complex calendar, appointments, and meetings Coordinate domestic and international travel arrangements Prioritize competing requests and resolve scheduling conflicts proactively Manage logistics across multiple business and personal commitments Assist with family-related scheduling and coordination as needed Prepare presentations, reports, and meeting materials Communication & Relationship Management Serve as a strategic gatekeeper and liaison on behalf of the executive Screen calls, emails, and correspondence Coordinate communication with advisors, vendors, consultants, and external partners Maintain absolute discretion regarding confidential financial, legal, and family matters Communicate professionally with high-profile stakeholders and family members Administrative & Operational Support Maintain physical and digital filing systems Assist with invoice approvals and submission to accounting/business management partners Participate in weekly coordination meetings with outside accounting/business management firms Update and maintain reporting documents and Excel-based tracking schedules Assist with special projects and process improvements Coordinate office coverage and collaboration with other executive assistants Investment & Asset Coordination Assist with maintaining investment and asset tracking documentation Support reporting related to real estate, family office assets, and investment holdings Maintain and organize art files and related documentation Help manage schedules, records, and organizational systems for various family office assets Technology & Presentation Support Prepare PowerPoint presentations and executive materials Assist with website updates and coordination with vendors when needed Utilize AI and technology tools to improve efficiency and organization Maintain strong working knowledge of Outlook, Excel, PowerPoint, and Word Ideal Candidate Profile The ideal candidate is: Exceptionally organized and detail-oriented Proactive and anticipatory Calm under pressure and adaptable Highly trustworthy and discreet Professional yet personable Resourceful and solutions-oriented Comfortable operating in a fast-paced family office environment Looking for a long-term opportunity This role requires someone who naturally takes ownership, communicates confidently, and can quickly learn the preferences and working style of the executive. Qualifications 5-10+ years of Executive Assistant experience supporting C-suite executives, principals, or family offices Prior experience in a family office, private investment office, real estate, finance, or professional services environment strongly preferred Advanced proficiency in: Outlook, Excel, PowerPoint, Word Strong written and verbal communication skills Experience handling confidential information with discretion Strong organizational and project coordination abilities Ability to manage multiple priorities simultaneously Stable career history with demonstrated long-term tenure preferred
