Job Description

Executive Assistant to the Head of Sales We are looking for a dependable and capable Executive Assistant to support our Head of Sales. This is a trusted, long-term position for someone who takes ownership of their work, follows through consistently, and enjoys helping others stay organized and effective. The role involves calendar management, client communication, contract coordination, and day-to-day administrative support. The right candidate will be professional, attentive to detail, quick to learn, and comfortable managing responsibilities independently. Responsibilities Manage the Head of Sales' calendar, meetings, appointments, and reminders. Coordinate calls and meetings with customers, clients, and team members. Communicate with clients regarding contracts, documentation, and outstanding items. Prepare and proofread contracts using approved company templates. Track contract revisions, approvals, signatures, and deadlines. Organize meeting materials and ensure the Head of Sales is properly prepared. Keep track of commitments, follow-up items, and important deadlines. Draft emails, reports, spreadsheets, and other business documents. Take meeting notes and organize next steps. Maintain accurate and confidential company and client records. Assist with administrative duties and special projects as needed. Qualifications Experience in construction( residential remodeling/ custom homes construction preferred ) Dependable, punctual, and committed to producing accurate work. Interested in a stable, long-term position. Strong organizational and time-management skills. Clear and professional written and verbal communication. Able to learn new processes and software quickly. Comfortable communicating directly with customers and clients. Good judgment and respect for confidential information. Able to manage multiple priorities with limited supervision. Proficient with Microsoft Office or Google Workspace. Previous experience in executive assistance, administration, sales support, or contract coordination is preferred. CRM experience and bilingual abilities are a plus. Pay:
$25.00 - $36.50 per hour
