This role is ideal for someone who is proactive, detail-oriented, and able to help manage the day-to-day responsibilities that keep the owner organized, on schedule, and focused. The Executive Assistant will assist with emails, scheduling, follow-ups, errands, office organization, administrative tasks, communication, and everything in between. The ideal candidate is someone who can anticipate needs, stay on top of details, communicate professionally, and help create more structure and efficiency for the owner and business. Responsibilities Manage and organize the owner's emails, correspondence, and follow-ups. Monitor incoming messages and help prioritize urgent items. Keep the owner on schedule throughout the day, including meetings, calls, deadlines, and reminders. Schedule appointments, meetings, calls, and calendar reminders. Assist with daily administrative tasks and executive support needs. Run business-related errands as needed. Organize the owner's desk, workspace, files, papers, and supplies. Help maintain an organized office environment, including common areas, storage areas, and office supplies. Create systems for organizing documents, notes, reminders, and important information. Follow up with staff, vendors, customers, or contacts as needed. Assist with task lists, reminders, and project coordination. Help prepare documents, forms, letters, and basic reports. Maintain confidentiality with sensitive business and personal information. Support communication between the owner and team members. Help keep the owner organized, prepared, and on track. Assist with light QuickBooks or bookkeeping-related tasks as needed. Provide general support with anything needed to help daily operations run smoothly. Qualifications Previous experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Office Assistant, or similar role preferred. Strong organizational skills and excellent attention to detail. Comfortable managing emails, calendars, reminders, and follow-up tasks. Strong written and verbal communication skills. Ability to multitask and prioritize in a busy work environment. Proficient with Google Workspace, Microsoft Office, and basic office software. QuickBooks experience is a plus. Bilingual abilities are highly desirable. Professional, reliable, and trustworthy. Able to work independently and take initiative. Comfortable with hands-on organization, including desks, files, supplies, and office spaces. Friendly, helpful, and able to communicate well with staff, customers, vendors, and leadership. About the Role This position is a key support role for the owner and requires someone who is organized, dependable, and ready to help keep both the owner and daily operations running smoothly. The right person will be a trusted support system who can handle details, follow through on tasks, organize physical and digital spaces, and help bring more structure to a busy workday.
