Full-time Position Summary:
We are seeking a highly organized, proactive, and bilingual (English/Mandarin) Executive Assistant to support our U.S. General Manager at our Chino operations center. In this pivotal role, you will serve as the primary point of contact and liaison between the GM, the local U.S. logistics/warehouse operations teams, and our global headquarters in China. The ideal candidate thrives in a fast-paced, cross-cultural supply chain/logistics environment and possesses exceptional communication and organizational skills.
Key Responsibilities:
Executive Support:
Manage the GM's calendar, coordinate high-level meetings, and organize domestic/international travel logistics.
Bilingual Communication & Liaison:
Translate business documents, operational reports, and emails between English and Mandarin. Act as a cultural and operational bridge between HQ in China and the US subsidiary.
Operations Coordination:
Assist the GM in overseeing day-to-day warehouse/logistics operations, tracking key performance indicators (KPIs), and following up on action items across different departments.
Meeting & Project Management:
Attend executive meetings, prepare agendas, draft comprehensive meeting minutes, and track project deadlines to ensure smooth execution.
Administrative & Office Management:
Handle confidential business information with high discretion. Assist with onboarding local office staff and coordinating with local vendors/service providers as needed.
Qualifications & Requirements:
Language Skills:
Native or professional fluency in both English and Mandarin (written and spoken) is strictly required. Ability to translate complex business terms between both languages seamlessly.
Experience:
2-4+ years of experience as an Executive Assistant, Operations Assistant, or similar administrative role supporting C-level executives. Experience in Logistics, Supply Chain, or Cross-border E-commerce industries is highly preferred.
Education:
Bachelor's degree in Business Administration, Logistics, International Trade, or a related field preferred.
Technical Skills:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration tools (e.g., WeChat, DingTalk, Zoom).
Soft Skills:
Strong problem-solving skills, multicultural awareness, and the ability to work independently under pressure in a fast-paced warehouse office environment.
Work Authorization:
Must be legally authorized to work in the United States.
