This role requires strong attention to detail, the ability to manage competing priorities, and a high level of discretion. The ideal candidate is adaptable, solutions-oriented, and capable of supporting both executive and operational needs. Key Responsibilities Manage the CEO's calendar, including scheduling meetings, calls, and coordinating across multiple time zones (domestic and international) Act as a liaison between the CEO and internal departments (operations, warehouse, accounting) as well as external partners (clients, carriers, vendors) Prepare and review correspondence, reports, presentations, and internal communications Track and follow up on key action items, ensuring deadlines are met across departments Assist with contract coordination, document management, and maintaining organized records Support the CEO with operational tasks, including the coordination of shipments, urgent client matters, and escalation handling when needed Coordinate meetings, prepare agendas, and take meeting notes with follow-up tracking Handle confidential business and personnel information with discretion Assist with special projects, including process improvements and cross-functional initiatives Support company events, executive meetings, and internal communications Qualifications Bachelor's degree preferred Strong organizational and multitasking skills in a fast-paced environment Excellent written and verbal communication skills High level of professionalism, discretion, and problem-solving ability Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) Ability to prioritize, anticipate needs, and work independently Bilingual (English/Mandarin) is a plus
