Executive Assistant to the School President Angeles College, City of Industry City of Industry, CA Job Details Full-time $60,000 - $72,000 a year 1 hour ago Qualifications Google Workspace Correspondence management Confidential information handling Microsoft Outlook Spreadsheets Executive administrative support Attention to detail Presentation preparation Time management Full Job Description We are seeking a highly organized, professional, and proactive Executive Assistant to the President to provide high-level administrative and operational support to the President of our private postsecondary educational institution. This is a key position within the President's Office requiring exceptional judgment, discretion, attention to detail, and follow-through. The Executive Assistant will manage executive priorities, coordinate meetings and communications, track projects and deadlines, prepare reports and presentations, and serve as a liaison between the President and campus leadership, employees, students, regulatory agencies, business partners, and other external stakeholders. The ideal candidate is not simply an administrative assistant. We are looking for a resourceful professional who can anticipate needs, independently manage priorities, protect confidential information, and help ensure that decisions and projects from the President's Office are carried through to completion. Key ResponsibilitiesExecutive Support Provide direct administrative and operational support to the President. Manage the President's calendar, appointments, meetings, deadlines, and priorities. Coordinate internal and external meetings and ensure the President is appropriately prepared. Prepare meeting agendas, briefing materials, reports, presentations, correspondence, and other executive documents. Draft and proofread professional emails, letters, memoranda, announcements, and other communications on behalf of the President. Review incoming requests and communications, identify priorities, and appropriately route or escalate matters requiring the President's attention. Coordinate travel arrangements, itineraries, reservations, and related logistics when necessary. Handle sensitive and confidential information with the highest level of discretion. Executive Office & Leadership Coordination Serve as a professional liaison between the President and campus leadership, department heads, employees, students, vendors, business partners, and external organizations. Coordinate leadership and management meetings, including scheduling, agendas, supporting documents, and follow-up. Attend meetings as requested, take accurate meeting minutes, document action items, and distribute follow-up information. Track assignments, commitments, deadlines, and action items resulting from executive and leadership meetings. Follow up with department heads and responsible staff to ensure projects and assignments are completed on schedule. Maintain organized executive files, institutional records, correspondence, reports, and confidential documentation. Help establish and maintain effective administrative systems for the President's Office. Institutional & Compliance Support Assist the President and campus leadership with institutional projects, reports, and documentation. Support preparation and organization of materials related to accreditation, regulatory reviews, audits, institutional reporting, and other compliance activities. Maintain calendars and tracking systems for important institutional deadlines, renewals, submissions, meetings, and reporting requirements. Coordinate the collection of information and documentation from various departments for executive review. Assist with preparation of institutional presentations, organizational reports, policies, procedures, and supporting documentation. Maintain organized and audit-ready executive and institutional records. Work collaboratively with Administration, Education, Admissions, Financial Aid, Student Services, Career Services, and other departments as needed. Projects & Operations Assist the President with special projects and strategic initiatives from planning through completion. Research information and prepare summaries, reports, spreadsheets, and presentations to support executive decision-making. Monitor project timelines and communicate with responsible team members regarding outstanding items and deadlines. Identify administrative issues that require attention and proactively recommend solutions. Assist with campus events, staff meetings, graduations, regulatory visits, and other institutional activities. Perform other executive-level administrative and operational duties as assigned by the President.
Qualifications Required:
Minimum 3 years of experience providing administrative or executive-level support. Excellent written and verbal communication skills. Strong organizational, time-management, and follow-up skills. Exceptional attention to detail and accuracy. Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment. Strong professional judgment and ability to maintain strict confidentiality. Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Google Workspace, and related office technology. Ability to prepare professional correspondence, reports, spreadsheets, and presentations. Ability to work independently, take initiative, and solve problems with limited supervision. Professional demeanor and ability to communicate effectively with executives, employees, students, and external stakeholders.
Preferred:
Bachelor's degree. 5+ years of executive assistant or senior administrative experience. Previous experience supporting a President, CEO, executive director, school administrator, or other senior executive. Experience in higher education, private postsecondary education, vocational education, or a regulated educational environment. Familiarity with accreditation, BPPE, institutional compliance, audits, or regulatory documentation. Experience coordinating executive projects involving multiple departments. Bilingual skills are a plus. The Successful Candidate The successful candidate will be highly organized, dependable, discreet, proactive, and comfortable taking ownership of assignments . You should be someone who notices what needs to be done before being asked, follows through on commitments, keeps leadership informed, and is comfortable respectfully following up with managers and department heads regarding deadlines and outstanding assignments. This position requires someone who can shift between detailed administrative work and higher-level executive support while maintaining professionalism, confidentiality, and accuracy.
