We are seeking a highly organized and proactive

- 5+ years of experience supporting at least two executives
- in a fast-paced, dynamic environment. This role requires exceptional multitasking abilities, strong communication skills, and the capability to anticipate needs while maintaining a high level of professionalism and confidentiality.

- Responsibilities
- Provide comprehensive calendar and administrative support for the Division Head(s) to meet the diverse needs and objectives of the division.
- Coordinate executive calendars, travel arrangements, meetings, conference calls, written communications, correspondence, and other project-oriented tasks.
- Proactively identify, communicate, and resolve scheduling and calendar conflicts.
- Organize all aspects of division meeting logistics, including room setup, distribution of materials, and catering.
- Work independently and efficiently in a fast-paced environment while handling multiple priorities and meeting strict deadlines.
- Adapt to shifting priorities with minimal notice while maintaining a positive, helpful, and responsive attitude.
- Complete assigned projects on time with exceptional accuracy and attention to detail.
- Manage monthly expense reports using the Concur system.
- Coordinate travel arrangements through the corporate travel agency.
- Prepare and assist in developing reports, presentations, and meeting materials.
- Review files and materials to ensure accuracy and consistency.
- Support research and analysis related to division initiatives when needed.
- Maintain and update division-specific systems and software.
- Manage internal and external correspondence while handling sensitive and confidential information.
- Serve as a Department Ambassador, supporting employee transfers, hiring processes, and other assigned tasks.
- Perform other duties and responsibilities as assigned by the Division Head(s).
- Operate as the sole Executive Assistant for the division, wearing multiple hats and coordinating all aspects of the administrative workflow.
- Make informed decisions within the scope of the role to ensure timely and professional project completion.
- Deliver day-to-day support with autonomy, following general instructions and guidance as needed.

- Requirements
- High school diploma required;
- Bachelor's degree preferred
