Job Description

We are looking for an organized and proactive Executive Assistant to support leadership in Fremont, California. This is a Contract position suited for someone who is detail oriented and can manage complex schedules, coordinate meetings, and handle travel logistics with accuracy and discretion. The ideal candidate brings strong administrative judgment, anticipates needs, and keeps daily operations running smoothly in a fast-paced environment.
Responsibilities:
  • Manage executive calendars by prioritizing appointments, resolving scheduling conflicts, and ensuring leaders are prepared for daily commitments.
  • Arrange domestic and international travel, including flights, lodging, ground transportation, and itinerary planning.
  • Coordinate meeting logistics for executive sessions, including scheduling, room reservations, agenda support, and follow-up on action items.
  • Communicate with internal teams and external contacts to confirm appointments, travel details, and schedule updates.
  • Prepare and maintain organized records related to travel plans, meeting schedules, and executive activities.
  • Monitor changes to calendars and travel plans, responding quickly to updates while minimizing disruption to executive priorities.
