Job Description
Senior Executive Assistant We are currently seeking an open-minded, enthusiastic, self-driven individual to fill our Senior Executive Assistant position. The ideal candidate will have excellent verbal communication skills, be able to quickly switch tasks at a moment's notice, and be willing to proactively seek improvement. They will be motivated to work and able to take action in face of ambiguity. Responsibilities include, but are not limited to: Manage information flow in a timely and accurate manner. Inputting, compiling, organizing, validating, tracking, and maintaining data integrity, and performing standard data analyses, with minimal guidance. Keep up to date on items that need to be followed up and be able to remind leadership on status. Organize company travel arrangements including hotels, flights, meals, and ground transportation. Support other departments including compliance, sales, customer service, and marketing etc. Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management etc. Conduct research and gather information for various projects. Proofread documents for accuracy and completeness. Perform data entry tasks and maintain accurate records using various software applications. Developing day-to-day schedule and prioritization of activities. Ad hoc tasks, assigned by the CEO and management. Par-take in general office duties including but not limited to cleaning, filing, typing, copying, faxing, etc. Handle highly sensitive and confidential information with exceptional discretion. Able to perform decision-making and problem-solving on behalf of executives. Assist with contract reviews, approvals, and compliance processes. Handle any additional duties and responsibilities as assigned. Project & Operations Management Lead and coordinate special projects, cross-functional initiatives, and executive-driven programs. Track deliverables, deadlines, and follow-ups to ensure execution of leadership priorities. Analyze processes and recommend improvements to enhance efficiency and effectiveness. Establish and manage project goals, objectives, timelines, budgets, contract terms and conditions, etc. Lead and oversee the product development from concept to launch. Identify potential risks and develop mitigation strategies to avoid project delays or failure. Stay up to date on current and emerging trends and have a clear understanding of competitors and their behaviors. Market research and data analysis to draft product launch plans and partner with various cross-functional to ensure smooth project execution. Develop and sustain long-standing relationships with company-approved vendors through clear, professional, and respectful communication. Work with the CEO on a weekly basis to get input on new and existing project progress. Maintain clear and concise project documentation, including progress reports, risk assessment, and final report. Coordinate and manage marketing campaigns, project launches, influencer partnerships, and brand activations to drive growth and customer engagement. Create, track, and manage project budgets from new product launches, promotional activities, and events, ensuring all projects stay within financial parameters. Manage planning and execution of promotional events, trade shows, beauty expos, and influencer collaborations to drive brand awareness. Requirements Bachelor's Degree or work experience in a relevant field is preferred. Minimum of 3-5 years of experience in supporting senior-level executives' roles. Exceptional organizational, communication, and interpersonal skills. Strong business acumen with the ability to understand organizational strategy. High level of discretion, professionalism, and emotional intelligence. Advanced proficiency in office productivity tools and collaboration platforms. Ability to operate independently in a fast-paced, high-pressure environment. Ability to work well in a collaborative environment and interact effectively with all levels of management and other teammates. Outstanding phone and email etiquette Bilingual (English & Korean) preferred Proficient in MS Office - Word and Excel Must have driver's license Ability to travel domestically and internationally
