Job Description Our client, a leading entertainment company, is seeking an Executive Assistant to support their project team executives as well as their broader team. This role helps maintain an efficient, well-coordinated work environment by managing schedules, organizing communications, supporting meetings and events, and assisting with day-to-day team operations. The ideal candidate must be task-oriented with an excellent sense of priority, highly organized and capable of handling a number of sensitive and important issues simultaneously.Assignment type:
Contract, approximately 5 monthsSchedule:
9:00AM-6:00PM mostly in office, occasional overtimePay Rate:
$36.50/hour Key Responsibilities- Manage complex calendars, including scheduling meetings across multiple stakeholders, time zones, and priorities
- Coordinate travel arrangements, itineraries, and related logistics
- Coordinate team requests, including ordering catering and team supplies
- Prepare, organize, and distribute meeting materials, agendas, notes, and follow- up actions
- Support expense reporting, timesheet inputs, invoice processing, purchase requests, and other administrative workflows
- Serve as a point of contact for internal and external partners, handling communications with professionalism and discretion
- Track deadlines, deliverables, and action items to help maintain team momentum and accountability
- Help plan team events, offsites, site visits, and other team activities
- Maintain organized digital files, records, and shared resources
- Assist with onboarding coordination for new team members, including workspace preparation, access, and scheduling
- Support leadership and team operations with ad hoc research, presentation prep, and special projects
- Anticipate administrative needs and proactively resolve scheduling or logistical conflicts
- Acts as backup for the senior management's secretarial functions if needed
- Maintains confidentiality of highly sensitive information
- Performs other duties as assigned.
Required Qualifications & Skills:
- 3+ years of administrative support experience, preferably supporting executives or leadership teams
- Must be task-oriented with an excellent sense of priority, highly organized and capable of handling a number of sensitive and important issues simultaneously.
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- Working knowledge of operating office equipment.
- Ability to proactively manage calendar tracking.
- Strong experience in managing expense reports both domestic & international.
- Ability to interface with all levels of the organization.
- High proficiency with Microsoft Office (including Word, Excel, Outlook, Powerpoint), SAP/Concur, and calendar management tools
- Strong attention to detail and follow-through
- Demonstrated professionalism, reliability, and sound judgment
Preferred Qualifications:
- Experience supporting a department, studio, production, or project-based team
- Familiarity with travel coordination, expense systems, and procurement processes
- Experience preparing presentations, reports, and team communications
- Comfort working across cross-functional teams and leadership levels
- Bachelor's degree or equivalent work experience
