Job Description
Position Summary We are seeking a highly organized, discreet, and proactive Executive Assistant to support the Vice President in a fast-paced, high-accountability environment. This role requires exceptional judgment and confidentiality while managing sensitive business documents and communications involving multiple international air carriers and stakeholders at LAX. The ideal candidate thrives under pressure, anticipates needs, and can coordinate complex schedules across time zones with professionalism and precision. Key Responsibilities Provide high-level administrative support to the VP, including complex calendar management, meeting coordination, and time-sensitive scheduling. Serve as a trusted point of contact between the VP and internal/external partners, including international carrier representatives, airport stakeholders, vendors, and operational and executive leadership. Prepare, review, and manage confidential documents (e.g., contracts, agreements, operational reports, presentations, correspondence) with strict discretion and attention to detail.
Organize and support executive meetings:
build agendas, compile briefing materials, capture notes as requested, track action items, and follow up to completion. Maintain organized and secure document control and extensive filing systems (digital and hard copy), including version control and secure storage. Support priority projects on behalf of the VP by tracking timelines, coordinating and ensuring deadlines are met. Manage expense reports and administrative processing (e.g., invoices, purchase requests) as needed. Maintain professionalism and composure while handling urgent requests, shifting priorities, and frequent interruptions. Required Qualifications College degree (Associate's or Bachelor's; Bachelor's preferred). 3+ years of experience as an Executive Assistant or Senior Administrative Assistant. Proven ability to handle confidential and sensitive information with excellent judgment and discretion. Strong interpersonal and communication skills , with the ability to build effective working relationships across all levels Exceptional organizational skills with the ability to manage competing priorities in a deadline-driven environment. High proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and common collaboration tools (Teams/Zoom/SharePoint or similar). Demonstrated reliability , including excellent attendance and punctuality . Ability to work on-site near LAX as required and meet any badging/security requirements.Schedule Primary schedule:
Monday through Friday, 8:30 AM - 5:00 PM Flexibility required: Occasional weekend support may be needed based on operational or executive needs.Attendance expectation:
