Calendar and priorities:
Own a complex and changing executive calendar, resolve scheduling conflicts, protect the CEO's time, and anticipate meeting preparation and travel requirements.Domestic and international travel:
Coordinate flights, hotels, transportation, itineraries, and schedule changes with exceptional accuracy.Meeting preparation and follow-through:
Organize agendas and materials, attend selected meetings, take detailed notes, document decisions, and track commitments through completion.Electronic File and Document Management:
Demonstrated ability to create and maintain disciplined electronic filing, document-control, and information-management systems, preferably using SharePoint, Teams, and OneDrive.Executive projects:
Take special projects from initial direction through final delivery by defining next steps, coordinating participants, monitoring progress, and resolving issues.Company event support:
Support vendor management, logistics, invitations, and tasks to organize company outings and events.Systems and process improvement:
Create SOPs, checklists, trackers, and technology-enabled workflows that improve visibility, organization, and execution.Executive and personal support:
Coordinate purchases, returns, shipping, gifts, appointments, deliveries, and vendors at the office or personal residence, along with occasional errands throughout Orange County. What We Are Looking For At least four years of relevant Executive Assistant, Personal Assistant, or senior administrative management experience . Direct experience supporting a Founder, CEO, President, or senior executive with broad responsibilities. Recent hands-on ownership of calendars, inboxes, travel, meetings, vendors, events, confidential information, and executive follow-through. Exceptional attention to detail, organization, judgment, and discretion. Strong written and verbal communication skills. The ability to manage a high volume of work with limited supervision. Strong proficiency with Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and other business-productivity tools. Comfort experimenting with AI and automation to improve how work gets done. A valid driver's license, reliable transportation, and comfort driving throughout Orange County. The ability to make this full-time position your primary professional commitment.
