Ramin Tayani MD Inc (Tayani Institute) seeks an Executive Assistant to support a busy surgeon in a fast-paced ophthalmology and facial aesthetics practice. You will manage calendars, coordinate surgeries and patient appointments, prepare correspondence, arrange travel, and facilitate communication between clinical teams, patients, and external partners. Responsibilities include handling confidential medical information, tracking tasks and projects, preparing reports and presentations, and supporting meetings. Success requires exceptional organization, discretion, strong healthcare office skills, and a patient-focused mindset. Responsibilities Manage the surgeon's calendar, appointments, and daily schedule Coordinate surgeries, procedures, and follow-up visits with patients and clinical staff Serve as primary administrative liaison between surgeon, patients, and internal teams Prepare correspondence, reports, and presentations for clinical and business needs Maintain accurate electronic health records and patient documentation Ensure compliance with HIPAA and practice policies when handling confidential information Arrange travel, meetings, and conference logistics for the surgeon Track tasks, deadlines, and ongoing projects to ensure timely completion Support patient communication via phone, email, and patient portal Assist with general front- and back-office administrative duties as needed Required Skills Calendar management Travel coordination Medical office administration Electronic Health Records (EHR) Surgery scheduling Patient communication HIPAA compliance MS Office (Word, Excel, Power Point) Document and report preparation Time and task management
