Addison Group is partnering with a mission-driven organization seeking an experienced Executive Assistant to support two senior executives. This is a highly visible role that combines executive support, project coordination, and operational administration. The ideal candidate is proactive, highly organized, and able to step into a fast-paced environment with minimal training.
Job Description:
The Executive Assistant will provide direct support to two senior leaders, managing complex calendars, coordinating meetings and special projects, and handling sensitive information with discretion. This individual will serve as a key administrative partner, helping keep day-to-day operations running smoothly while supporting strategic initiatives across the organization.
Key Responsibilities:
Manage complex scheduling, calendar coordination, and meeting logistics for senior leadership. Coordinate board and executive meetings, including agendas, Zoom links, materials, surveys, and catering arrangements. Maintain and organize confidential files, records, and operational documentation. Assist with administrative support related to financial and operational processes. Support cross-functional projects and independently manage assigned initiatives. Track deadlines, maintain reporting documents, and improve organizational processes. Serve as a trusted liaison between leadership and internal/external stakeholders. Handle sensitive information with professionalism and a high level of confidentiality.
Qualifications:
3+ years of Executive Assistant, Administrative, Office Management, or Project Coordination experience. Experience supporting senior leaders in a fast-paced environment. Strong organizational, multitasking, and project management skills. Ability to manage high volumes of documentation and maintain exceptional attention to detail. Strong communication skills and professional executive presence. Experience working in mid-sized or large organizations preferred. Proficiency in Microsoft Office Suite, particularly Outlook, Excel, Word, and PowerPoint. Ability to work independently and quickly establish trust with leadership. Bachelor's degree preferred but equivalent experience will be considered.
