Job Description We are seeking an Executive Assistant to support the Senior Vice President of PS Strategy in a global, matrixed organization. The ideal candidate will have strong experience in executive-level administrative support, complex calendar and travel management, and cross-functional coordination, and a proven ability to operate independently, protect executive time, and drive seamless execution across multiple time zones.
Responsibilities:
Own and manage a complex executive calendar across time zones, align scheduling to business priorities, and resolve conflicts. Coordinate domestic and international travel, handle real-time changes, and manage accurate, timely expense reconciliation. Serve as primary point of contact and gatekeeper for the SVP, triage communications, and maintain confidentiality. Prepare, review, and edit executive correspondence, reports, presentations, and briefing materials to an executive-ready standard. Plan and coordinate complex meetings, leadership forums, and offsites, including logistics, agendas, and follow-ups. Partner with PS Strategy, other Executive Assistants, and senior stakeholders to align priorities and decision rhythms. Support the rhythm of business, including annual and quarterly planning, operating reviews, and action tracking. Coordinate special projects and non-routine initiatives, tracking owners, deadlines, and dependencies. Manage delegate access and administrative permissions for calendars, HR, and task delegation as applicable. Support hiring coordination, including interview scheduling, candidate logistics, and feedback tracking. Coordinate onboarding and offboarding logistics for employees, vendors, and interns, including access, equipment, and workspace. Leverage Microsoft 365 and internal tools to streamline workflows and maintain information hygiene. Support coordination of team events aligned with priorities, including volunteering and recognition activities. Maintain distribution lists, org charts, and purchase orders, and process expenses in compliance with policy.
Required Skills & Qualifications:
8-10+ years of progressive administrative experience supporting senior or executive leaders in complex, matrixed environments. Expert calendar, travel, and meeting logistics management with competing priorities and frequent changes. Experience coordinating across multiple time zones and partnering with global stakeholders. Advanced proficiency with Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint, Excel) and travel/expense systems. Strong judgment, discretion with confidential information, and written and verbal communication skills. Ability to manage multiple projects, deadlines, and stakeholders with minimal supervision. Familiarity with AI productivity tools.
Preferred Skills:
