Job Description

Overview We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. This role is vital in ensuring smooth daily operations, managing schedules, coordinating communications, and handling administrative tasks with precision. The ideal candidate will possess exceptional organizational skills, a proactive attitude, and the ability to juggle multiple priorities in a fast-paced environment. Bilingual abilities and strong computer literacy are highly valued to facilitate seamless communication and office management. Duties Manage complex calendars, schedule appointments, meetings, and travel arrangements for executives Serve as the first point of contact at the front desk, greeting visitors and directing inquiries with professionalism Handle multi-line phone systems, screen calls, take messages, and provide excellent customer service support Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and clarity Maintain organized filing systems, data entry records, and manage document flow efficiently Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Coordinate office supplies procurement, oversee office management tasks, and ensure a well-functioning workspace Support personal assistant responsibilities such as managing personal schedules or errands as needed Facilitate communication between departments via Google Workspace tools like Gmail, Calendar, Drive, and Docs Provide administrative support including typing documents quickly and accurately while maintaining high attention to detail Qualifications Proven experience as an executive assistant or in a similar administrative role with office management responsibilities Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry software Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Exceptional phone etiquette skills with experience handling multi-line phone systems and customer support interactions Bilingual abilities are preferred to assist diverse clientele and team members effectively Clerical experience including filing, proofreading, calendar management, and document preparation is essential Knowledge of QuickBooks or bookkeeping software is a plus for supporting financial tasks Previous experience in medical or dental receptionist roles is advantageous but not required Strong interpersonal skills with a friendly demeanor capable of providing outstanding customer service in person or over the phone High level of computer literacy combined with excellent typing speed for efficient data entry and correspondence Join us to be part of a vibrant team where your organizational talents will shine!
