Position Overview The Executive Assistant provides high-level administrative and strategic support to the Executive Director and plays a critical role in advancing the mission of Restorative Partners. This position requires strong organizational skills, discretion, emotional intelligence, and the ability to manage confidential information. The Executive Assistant reports to and works closely with the Executive Director on daily operations, board governance, and organizational initiatives, ensuring effective communication, coordination, and follow-through across internal and external stakeholders. Roles & Responsibilities Executive Support Manage the Executive Director's calendar, including meetings, appointments, outreach, and events. Coordinate travel arrangements, prepare itineraries, and resolve logistical issues as needed. Anticipate needs, assist with problem-solving, and support contingency planning. Accompany the Executive Director to meetings, site visits, and community engagements as requested. Draft, edit, and manage correspondence, including emails, letters, and partner communications. Perform complex administrative tasks requiring judgment, discretion, and follow-through. Use AI tools appropriately to improve efficiency in drafting, scheduling, summarizing, and workflow management. Board and Governance Support Coordinate Board of Directors and committee meetings, including scheduling, logistics, and documentation. Prepare board and committee agendas in collaboration with the Executive Director. Create and manage BoardEffect meeting books and ensure timely, accurate distribution. Serve as the primary administrator of BoardEffect. Maintain board and committee records, documents, and compliance materials. Train and support board and committee members in the use of BoardEffect. Troubleshoot user issues and encourage platform adoption. Maintain the Board Secretary's Binder and governance documentation. Collaborate with the Board Secretary to prepare and finalize meeting minutes. Maintain board recruitment and vetting documentation. Update board and committee rosters. Maintain and distribute the Board and Committee Handbook. Coordinate board and committee new member orientation and training materials. Administrative and Organizational Support Provide administrative support to the Leadership Team as assigned. Participate in Administration Team meetings and support cross-department coordination as needed. Assist with grant application and submission operations as needed. Communications and Technology Demonstrate advanced proficiency in Google Workspace and Microsoft Office Suite. Create high-quality presentations, documents, reports, invitations, and workflow materials. Provide technical support for Google Drive, BoardEffect, Zoom, Microsoft Teams, and related platforms. Set up and manage virtual, hybrid and in-person meetings, including board and committee sessions. Community and Stakeholder Engagement Create a positive and professional first impression for clients, vendors, volunteers, and partners. Coordinate logistics, materials, and note-taking for meetings with government officials, community stakeholders, board members, and committee members. Other duties as assigned Knowledge, Skills, Talents, & Abilities Proven experience supporting executive-level leadership, preferably in a nonprofit environment. Ability to maintain professionalism under pressure. Demonstrated ability to handle highly confidential information with discretion and professionalism. Experience with BoardEffect or similar board management software is strongly preferred. Strong technical skills, including Zoom, Microsoft Teams, and emerging AI tools. Excellent written and verbal communication skills. Strong organizational skills with the ability to manage multiple priorities and deadlines. Ability to work independently while maintaining strong collaboration with leadership and staff. Experience working with nonprofit boards and governance structures. Ability to train and support non-technical users in digital tools and platforms. Strong problem-solving mindset with attention to detail. Adaptability and comfort in a dynamic, mission-driven environment. Reliable, prompt, and proactive. Team player comfortable in a rapidly changing environment. Proficiency with Google Drive, Microsoft Office, Dropbox, Adobe Acrobat, and BoardEffect. Familiarity with Apple computers is helpful. Essential Requirements Associate or bachelor's degree preferred, or equivalent work experience. Minimum of two years of office management or executive assistant experience. Bilingual and biliterate in Spanish/English preferred. Valid driver's license and proof of insurance. Ability to pass a background check. Attendance at required training, including Agency Community Workshops. Flexible schedule with availability to work some evenings and weekends. This position requires the ability to talk, hear, stand, walk, use hands and fingers, reach with hands and arms, and occasionally lift up to 20 pounds. The work environment is a professional office setting and routinely involves use of computers, phones, photocopiers, and filing cabinets.
