Temp Executive Assistant | Temp / Temp-to-Hire | San Rafael | $35-$54/hour We are seeking a proactive, high-level Executive Assistant with prior healthcare industry experience who enjoys partnering closely with leadership and playing an integral role in supporting senior executives in a collaborative, patient-centered environment. This role is part of a team-based executive support model, where Executive Assistants work together to support members of the executive leadership team. The position offers meaningful exposure to executive priorities within healthcare operations, opportunities to contribute at a high level, and the chance to apply strong judgment, organization, and communication skills in a fast-paced, highly regulated setting.
Duration:
3-6 month contract with strong potential to convert Background check/drug screen: Must successfully pass a criminal background check & urine drug screen prior to starting. •No medical marijuana exceptions•
Key Responsibilities:
Provide high-level administrative support to members of the executive leadership team, including managing complex calendars and competing priorities in a dynamic healthcare environment Anticipate executive needs, surface issues proactively, and handle sensitive and confidential healthcare information with discretion and sound judgment Draft executive communications, announcements, and internal correspondence; prepare presentations and briefing materials aligned with organizational priorities Coordinate executive and leadership meetings end to end, including scheduling, materials, logistics, and follow-up Track priorities, deadlines, and key meetings to ensure alignment and follow-through across clinical, operational, and administrative stakeholders Identify opportunities to improve administrative processes and support efficiencies within a healthcare setting Collaborate within a team-based executive support model to deliver consistent, high-quality support
Qualifications:
3+ years of experience providing executive-level administrative support (Director level and above), required Prior experience supporting executives within a healthcare, hospital, medical group, or related setting required Experience supporting executive teams in large or matrixed organizations Comfort working within a shared or team-based executive support model Experience drafting leadership communications or executive-facing materials Strong organizational and time-management abilities with high attention to detail
Technical Skills:
MS Office, including Word, Outlook, Excel (tracking, formatting, filters), PowerPoint (editing and formatting executive-facing decks) MS Teams, including driving virtual meetings, managing breakout sessions, and creating/organizing channels and materials for leadership teams Executive-level written and verbal communication skills
