Job Summary We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our executive office, providing comprehensive administrative support to ensure smooth daily operations. Your energetic approach and exceptional organizational skills will help manage calendars, coordinate communications, and streamline office functions. Responsibilities Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and professionalism Handle multi-line phone systems with courteous phone etiquette, directing calls and taking detailed messages as needed Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and clarity Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office Suite Assist with data entry, bookkeeping using QuickBooks, and basic office management tasks to support daily operations Greet visitors at the front desk warmly while managing front desk duties efficiently Provide exceptional customer service by supporting clients, vendors, and internal teams with professionalism and responsiveness Skills Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Bilingual abilities are highly valued to assist diverse clients and team members Demonstrated experience in office management, clerical work, or administrative support roles Knowledge of multi-line phone systems, phone etiquette, and front desk procedures Experience with bookkeeping software such as QuickBooks or similar tools for basic financial tasks Exceptional attention to detail for proofreading documents and data entry accuracy Proven ability to handle confidential information discreetly while maintaining professionalism Strong typing skills combined with excellent organizational abilities for efficient workflow management Personal assistant experience or medical/dental receptionist background is a plus for understanding specialized client needs Join us in a role where your proactive attitude and meticulous approach will make a real difference!
