The Team The Executive Operations team supports the Chief of Staff and senior leadership. The team ensures the Office of the Chief of Staff and related executive functions run smoothly, enabling leadership to focus on high-priority technical, strategic, and operational decisions in a fast-paced advanced nuclear environment. The Role The Executive Assistant provides high-level administrative, operational, and logistical support to the Chief of Staff and the Office of Executive Operations. This role is critical to keeping executive priorities, calendars, meetings, and communications organized and effective. The ideal candidate is highly organized, discreet, proactive, and comfortable operating in a dynamic, high-stakes environment. You will handle complex scheduling, travel, meeting preparation, correspondence, and special projects while maintaining the highest standards of professionalism and confidentiality. Key Responsibilities Manage complex and frequently changing calendars for the Chief of Staff and other executives as needed. Coordinate domestic and international travel, including itineraries, logistics, and expense reconciliation. Prepare meeting agendas, briefing materials, and follow-up notes; track action items to completion. Draft, edit, and manage executive correspondence and presentations. Serve as a professional point of contact for internal and external stakeholders. Handle confidential information with discretion. Support office operations, visitor coordination, and administrative processes. Assist with special projects, event coordination, and process improvements within Executive Operations. Anticipate needs and proactively solve problems to maximize executive effectiveness. Basic Qualifications Bachelor's degree preferred, or equivalent combination of education and experience. 3-8 years of experience as an Executive Assistant supporting senior leaders (C-suite, VP, or Chief of Staff level). Exceptional organizational skills and attention to detail. Proven ability to manage complex calendars and competing priorities. Excellent written and verbal communication skills. High level of professionalism, discretion, and judgment. Proficiency with Microsoft Office / Google Workspace, calendar tools, and virtual meeting platforms. Ability to thrive in a fast-paced, ambiguous environment. Preferred Skills and Experience Experience supporting executives in technology, energy, aerospace, manufacturing, consulting, or high-growth startups. Familiarity with project management or collaboration tools (Asana, Notion, Slack, etc.). Experience coordinating travel and events. Comfort using AI tools to improve productivity and research. Prior experience in a lean or scaling organization.
