- Prepare commercial invoices, shipping documents, financial reports, correspondence, and statements related to import and export transactions using word processing, spreadsheet,
database, or presentation software;
- Coordinate administrative support and direct office services including managing shipment records, tracking deliveries, assisting executives to ensure efficient import, export and distribution logistics;
- Prepare timely email/responses to inquiries, with accurate information;
- Prepare schedules for upcoming meetings and provide coordination with all the suppliers;
- Conduct a review of the financial documents and evaluate the monthly performance of the company for review by the head of the company;
- Perform general administrative duties such as balancing the Invoices, reviewing financial documents, maintaining records and data base and ordering office and warehouse supplies;
- Read and evaluate all letters and reports from various suppliers and endorsed to the management;
- Attend and document the meetings and represent the head of the company as instructed;
- Process and review the timesheet, prepare and submit payroll reports;
- Review and disseminate the guidelines and policies;
- Provide oversight in administrative and financial procedures; (The position prepares routine internal summary reports in support of executive operations related to import and export activities.
Reports include monthly sales summaries by product category, shipment cost summaries, accounts receivable and payable tracking logs, and inventory cost summaries. The employee compiles data from shipment tracking systems including: Priority1, FEDEX, UPS, Frontline Freight and other shipping companies and Excel spreadsheets using established templates. Duties consist of data entry, cross-checking totals against invoices and purchase orders, and formatting information for presentation to management (including basic spreadsheet functions). The role does not conduct financial forecasting, budgeting, profitability analysis, or strategic financial evaluation. All financial determinations are made by the head of the company. The position reviews routine business documents including vendor invoices, customer invoices, purchase orders, freight statements, payroll summaries, and expense receipts. The employee verifies completeness, mathematical accuracy, and consistency of information across documents. Discrepancies are identified and reported to management for review and resolution. Monthly performance summaries consist of compiling sales totals, expense totals, and shipment volumes into standardized internal summary spreadsheets for management review. The role organizes and presents existing data but does not independently interpret financial trends or make financial decisions. The position reviews supplier correspondence such as pricing notices, shipment updates, product availability reports, compliance documents, and credit memos. The employee screens communications for relevance and urgency, summarizes key points, updates internal tracking logs, and forwards matters requiring action to management. The position does not negotiate contracts or modify supplier agreements. "Oversight" refers to monitoring adherence to established internal administrative and routine finance-related procedures. The position tracks completion of shipment documentation, ensures invoices are entered timely, confirms shipment paperwork is properly maintained, and monitors payroll documentation prior to submission to the payroll service provider. The position does not supervise other employees and does not have authority to hire, fire, discipline, or direct staff. Decision-making authorities are limited to identifying missing documentation, following up for clarification, and escalating issues to the head of the company.
