Responsibilities Manage complex calendars, schedule meetings, and coordinate appointments for executives with precision and attention to detail. Handle multi-line phone systems, screen calls, and direct inquiries appropriately while maintaining excellent phone etiquette. Prepare, format, and edit documents using Microsoft Office suite including Word, Excel spreadsheets, and other productivity software. Perform data entry tasks accurately, maintain filing systems, and ensure all records are up-to-date and easily accessible. Provide exceptional customer service by assisting clients with professionalism and friendliness. Support office management activities such as ordering supplies, organizing files, and maintaining office equipment. Assist with personal tasks for executives as needed, including calendar management and travel arrangements to optimize their productivity. Experience Proven experience as an Executive Assistant or in a similar administrative role within an office environment. Demonstrated proficiency with Microsoft Office (Word, Excel, Outlook) and familiarity with data entry and filing systems. Strong computer literacy with the ability to quickly adapt to new software tools or technical platforms. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Bilingual skills are highly desirable to facilitate communication with diverse clients and team members. Previous experience managing multi-line phone systems, calendar coordination, and client communication is preferred. Knowledge of QuickBooks accounting software is a plus but not required; strong office management skills are essential.
