Job Summary The Executive Assistant serves as a strategic administrative partner to the Vice President for Enrollment, playing a critical role in advancing the division's priorities. Acts as a central point of coordination between the Vice President and campus leaders, staff, and external partners, including key feeder schools. Proactively manages a complex calendar and competing priorities, using sound judgment and discretion to support decision-making. Coordinates travel, meetings, and events, monitors budget-related activities, and helps ensure the Vice President's Office operates efficiently, professionally, and with the highest degree of integrity. Responsibilities Provide oversight to manage a complex meeting and travel schedule for the Vice President; coordinate meetings with internal and external parties. Perform considerable liaison and problem-solving duties as necessary between the Vice President and those within the college community and/or external parties having business with the Enrollment Division. Manage sensitive and confidential correspondence and issues; provide pertinent and timely background information related to such matters to the Vice President and his direct reports. Monitor and track expenditures in collaboration with the AVPs of the Offices of Admission and Student Financial Services, including operational and discretionary budget accounts and preliminary project plans. Reconcile the Vice President's p-card transactions. Review current procedures for purchases and reimbursements and implement improvements or revisions; authorize expenditures. Prepare routine correspondence; provide resource material and/or drafts for both internal and external constituents. Coordinate and oversee the admission calendar, including major events, programs, retreat, and vacation scheduling. Maintain office files that include sensitive and confidential matters. Minimum Qualifications Associate's degree plus minimum of 4 years related experience including some experience as an executive assistant, progressively responsible experience in managing administrative and financial operations; exceptional administrative, organizational, human relations, and technical skills. Must be able to work independently, accurately, and with discretion and demonstrate a high level of resourcefulness, diplomacy, integrity, and professionalism in all aspects of responsibilities. Must maintain the confidential nature of information and issues that arise in the course of the job. Requires significant ability to work in a fast-paced environment with timelines and be able to navigate shifting priorities with ease. Outstanding customer service skills and excellent written and verbal communication skills. Advanced level of computer proficiency includes the use of Microsoft Office programs, Banner, and ability to learn other department specific databases and software. Preferred Qualifications Bachelor's degree, higher education work experience, and working knowledge of Microsoft Office products and databases. Anticipated Hiring Salary Range:
$27.38 to $32.86 per hour
