We're looking for an Executive Assistant to be the welcoming first voice of our company and the organized, dependable heartbeat of our front office. You'll start at the center of everything: answering our phones, greeting clients, and making sure the right information reaches the right people. From there, the role grows into broad support for our CEO and team. The right person is reliable, upbeat, and genuinely warm — a people person with a great phone presence, a sharp eye for detail, and a good sense of humor. What You'll Do Be our first point of contact — answer incoming calls with warmth and professionalism, and make every caller feel well taken care of. Field client inquiries and act as the filter — take clear, accurate messages and route calls and information to the right team member so nothing gets lost. Set and manage appointments — keep calendars and the team's day organized and on track. Keep records accurate — maintain client and company information in our CRM (ACT!) with care and precision. Support the CEO and team — provide day-to-day administrative help and follow through so details never slip. Represent Jay's Valet — be a professional, personable presence for clients, partners, and guests. Keep the front office running — organized, welcoming, and smooth, day in and day out. Pitch in — we're a tight-knit team that helps one another wherever needed. What We're Looking For Exceptionally organized, with strong attention to detail — you're the person who never lets things fall through the cracks. A warm, polished phone manner and a genuine enjoyment of working with people. Reliable, dependable, and professional, with a good sense of humor and positive energy. Able to juggle multiple tasks and priorities in a busy, fast-moving office. Comfortable with computers and office software — Google Workspace and Microsoft Office/Excel; experience with a CRM (ACT! a plus). A clear, friendly communicator, both on the phone and in person. Discreet and trustworthy with confidential information. A quick learner, eager to grow with the company. 1-3 years in a reception, administrative, or customer-service role preferred; high school diploma or equivalent. From time to time you'll also lend a hand in the field — supporting our valet team at events and joining marketing or business functions alongside the office — which means being comfortable on your feet for extended periods, with potential for client-facing work down the road. Compensation & Benefits Starting salary: $57,777 per year — commensurate with experience, and open to discussion based on your skills and background.
