General Purpose This position is a dynamic and adaptable role responsible for providing support to the executive management team, clerical and secretarial support across multiple departments. This fast-paced role sometimes requires working beyond the standard 40-hour week, flexibility is key. Some duties are complex, require independent judgement and strong communication skills are a must. Essential Duties/Responsibilities The following are indicative of the essential functions required to perform this job successfully. Provide customer service per the "Signature Banking" culture. Assist with the organization and presentation of all documentation paper and electronic, for the Board of Directors, their committees, internal bank committees, exams and audits. Assist with memo and minute drafting. Assist with bank wide calendaring of events. Perform data entry, scanning and filing both paper and electronic documents. Answer and direct incoming calls, greet visitors, and handle general inquiries. Provides support to all departments as directed or where assistance is needed. Assist with special projects. Always maintain confidentiality of sensitive information. Be forthcoming, proactive and transparent with communication across multiple departments. Interaction regularly with multiple supervisors. Coordination with absences must reflect an understanding of the broader impact on departmental workflows and coverage. Perform other duties and responsibilities as requested or assigned. Supervisory Duties None Knowledge Knowledge of standard accounting or banking concepts, practices and procedures. Intermediate to advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook, Adobe) Proficient in electronic report writing and documentation. Skills Exceptional attention to detail and organizational skills. Excellent communication and interpersonal skills. Time management and the flexibility to shift tasks and priorities quickly as departmental needs change Strong organizational skills Electronic Filing. Ability Ability to handle confidential information with integrity. Prioritize, problem solve, research, and meet critical deadlines Work well in a team environment and independently Ability to communicate effectively, both orally and in writing with customers, co-workers, and vendors. Quickly learn job specific software as needed. Education Associate degree or equivalent required. Bachelor's degree with Business major preferred. Experience 2 years of administrative experience, preferably in a multi-departmental support role. 2 years of Banking Experience. 2 years of standard accounting practices and procedures. Equipment Computer, 10-key, telephone, copier and various small office equipment.
