Job Description

Job Summary We are seeking a dynamic and highly organized Medical Staff Coordinator/Executive Assistant to join our healthcare team. In this vital role, you will serve as the central point of contact for executive leadership and the medical staff, ensuring seamless communication, scheduling, and compliance with regulatory standards. Your proactive approach will help maintain efficient operations within our executive office and medical office environment, supporting senior leaders, physicians, nurses, and administrative personnel. This paid position offers an exciting opportunity to contribute to high-quality patient care while honing your skills in healthcare coordination and administration. Duties Coordinate schedules for medical staff, including physicians, specialists, and support personnel, ensuring optimal coverage and timely appointments Assist with onboarding new medical staff by preparing necessary documentation and ensuring compliance with organizational policies Maintain accurate records in accordance with NCQA (National Committee for Quality Assurance) standards and other regulatory requirements Assist with administrative tasks such as drafting correspondence, managing calendars, and organizing meetings Performs administrative functions supporting executive leadership and the Board of Directors Exercise judgement and discretion in a confidential manner Process and organize information to facilitate medical staff appointment and reappointments Provide information and service to administration and the medical staff to meet the needs of the organization Prepares agenda for all medical staff committee meetings and records minutes, processes files of physicians requesting privileges for review by appropriate staff and committees Send applications for reappointment and renewal of privileges to appropriate physicians, maintains physician directory, and provides orientation for all new applicants to the medical staff Minimum Qualifications High School Diploma or Equivalent Two (2) years of post secondary education or education Five (5) years work experience in a professional and responsible position Knowledge of and ability to use office equipment, computers and software (MS word, MS PowerPoint, MS Excel, etc.) Proven experience working in a medical office environment or healthcare setting Strong knowledge of medical terminology and healthcare processes Familiarity with managed care concepts and NCQA standards is highly desirable Excellent organizational skills with the ability to prioritize multiple tasks effectively Exceptional communication skills—both written and verbal—focused on professionalism and clarity Ability to work independently while collaborating effectively within a team environment High level of attention to detail and commitment to maintaining confidentiality
Preferred Qualifications:
Bachelor's Degree in Business, Healthcare Administration, or similar; or 4 years of related professional work experience Certified Professional in Medical Services Management (CPMSM) Join us in making a difference by supporting our dedicated medical and executive leadership teams!
