Job Description

Vivax Medical Corporation is seeking an experienced, highly organized and proactive Executive Assistant & Accounting Administrator to support our CEO and Director of Operations while helping manage key administrative, accounting and operational responsibilities. This is a broad, hands-on role for someone who enjoys wearing multiple hats, takes pride in getting things right, and is comfortable moving between executive support, bookkeeping, research, office administration and special projects. We are a small company, so this role is ideal for someone who likes being close to the work, contributing ideas, solving problems and making a visible difference. What You'll Do Provide day-to-day executive support to the CEO and Director of Operations Conduct research, gather information, compare options and help prepare decision-ready summaries Support accounts payable, invoice processing, vendor records, expense tracking and other bookkeeping functions Assist with billing and accounts receivable as responsibilities expand Enter and maintain technician timekeeping and payroll-related information Help manage recurring business responsibilities including OSHA-related administration, property tax records, compliance items, registrations and deadlines Maintain organized company files, records and administrative systems Assist with vendor coordination, fleet-related administration and operational documentation Prepare spreadsheets, reports and trackers using Microsoft Excel Support special projects, process improvements and administrative follow-up Assist with light marketing, research and collateral coordination as needed Answer incoming company calls during scheduled hours, assist callers when appropriate and route messages professionally Help ensure important details, deadlines and follow-ups do not fall through the cracks What We're Looking For We are looking for someone with at least 5 years of relevant office, executive support, accounting administration or business operations experience . Deeper experience is welcomed.
The ideal candidate will have:
Strong experience supporting executives or senior leadership Hands-on bookkeeping or accounting administration experience Familiarity with QuickBooks or similar accounting software Strong Microsoft Office skills, particularly Excel, Word and Outlook Excellent organization and attention to detail Strong written and verbal communication skills Confidence researching unfamiliar topics and finding reliable answers Comfort using modern technology and AI tools to work more efficiently Strong judgment, discretion and confidentiality The ability to work independently and follow assignments through to completion A proactive mindset and the ability to recognize when something does not look right A positive, courteous and professional demeanor A constructive, solution-oriented attitude and a willingness to help wherever needed Experience in healthcare, medical devices, compliance, payroll administration, office management or light marketing is helpful but not required. Pay:
$28.00 - $30.00 per hour Expected hours: 24.0 - 30.0 per week Application Question(s): This role combines executive support, office administration, accounting/bookkeeping responsibilities, research, and special projects. It requires someone who can independently research unfamiliar issues, identify when something does not look right, and follow through without needing step-by-step direction.
