Job Description:
As our Executive Assistant, your primary responsibility is to provide support to the President, thus maximizing his time to focus on the company's vision and growth. In this role you will execute all administrative functions as it pertains to the President's day-to-day operations, short and long-term projects.
Responsibilities:
Maintain a professional company image when representing the company. Act as the liaison between the President and executives, employees, clients, and external partners. Professionally represent the company when greeting guests, organizing company events, reviewing correspondences, and responding to inquires made to the President. Manage information flow in a timely and accurate manner. Format information for internal and external communications—memos, emails, presentations, reports. Responsible for organizing meetings, including scheduling, sending reminders, and organizing catering when necessary. Record detailed meeting minutes and distribute accordingly. Manage the President's calendar, including making appointments, prioritizing the most sensitive matters, and communicating the upcoming day's agenda. Monitor the President's incoming and outgoing mail correspondences. Screen phone calls for the President and take detailed messages. Organize the President's files and mail and keep things tidy and in order. Responsible for creating marketing materials and collaborating with outside vendors when necessary. Responsible for preparing bid proposal packages. Use judgement in resolving issues that do not require escalation to upper management. Arrange the President's travel, hotel, etc. and provide a detailed itinerary. Printing, faxing, and filing as needed. Assist Human Resources in the company's social media efforts. Assist additional company owners and executives as necessary. Run personal errands for the President, and other owners as needed. Other duties and projects as assigned.
Experience & Education:
Previous office experience required. 1•2 years' experience in executive support role. Experience in the construction industry preferred. Social Media/Marketing experience preferred.
Skills and Qualifications:
Strong organizational skills Detail oriented Ability to manage time effectively and meet deadlines Excellent verbal and written communication skills Critical thinking skills Ability to make decisions under pressure Discretion and confidentiality Proficient in Microsoft Office Suite products (Outlook, Word, PowerPoint, Excel) Valid Driver's License is required
Compensation:
Non-exempt (hourly) position $25•$31/hour depending on skills and experience Potential for overtime

Hours:
Monday•Friday, 7:30 AM•4:30 PM, with expectation for after hours if needed
Working Conditions:
The physical work environment is in-doors, in an office; physical demands of the position include sitting, traversing, lifting, reaching, operating printers, fax machines and filing cabinets. This role reports to the office five (5) days a week; travelling to various work locations may be required.
