Executive Assistant Position Overview Ridgefield Academy seeks a professional and highly organized Executive Assistant to support the Head of School and Division Head while managing front office operations for the Middle & Upper School (Grades 4-8). This highly visible role serves as a key point of contact for students, parents, faculty, and visitors and supports the smooth daily operation of the Annex building and school leadership offices. Key Responsibilities Administrative & Leadership Support Manage calendars, scheduling, and meeting logistics for the Head of School, Division Head, and Board of Trustees Prepare meeting materials and coordinate leadership communications Assist with administrative duties related to the Board of Trustees Manage expense reports for school leadership Coordinate professional development registrations and travel for conferences Office Management & Front Desk Operations Serve as the primary contact for the Annex front office Welcome students, parents, and visitors to campus Manage visitor sign-in procedures and maintain the visitor calendar Answer phones and respond to general inquiries Handle mail distribution, copying, laminating, and general reception tasks School Operations & Logistics Collaborate with Advancement, Facilities, IT, and Food Services to coordinate events Manage the school calendar with the administrative team Coordinate substitute teachers and coverage for absences Support student drop-off and dismissal procedures Assist with announcements and locating students as needed Student Records & Systems Maintain and update student information in Veracross Track faculty absences and run system reports Input schedules and rosters for the Middle & Upper School Create advisory lists and locker labels Events & Program Coordination Coordinate field trips and transportation logistics Secure transportation vendors and establish annual bus routes Manage the High School Admissions Fair Support Grade 9 placement coordination Plan and coordinate the Grade 8 Graduation ceremony Qualifications Bachelor's degree required 3+ years supporting a school leader, executive, or senior administrator Strong organizational and multitasking skills Excellent communication and interpersonal skills Experience with Google Workspace Veracross or similar database experience preferred How to Apply Send resume to: Stephanie Kowalski, Director of Human Resources Employment Information Ridgefield Academy|Landmark Preschool is an equal opportunity employer and does not discriminate in any employment practice on the basis of race, color, national origin, ancestry, citizenship, age, sex, sexual orientation, gender identity or expression, religion, disability, marital status, military status, veteran status, genetic information, or any other basis prohibited by federal, state or local nondiscrimination laws.
