Full Job Description Job Summary:
Daigle Law Group is seeking a motivated, detail-oriented Billing Associate / Executive Assistant to support operational and administrative functions under the direction of the Chief of Staff. This role is ideal for someone early in their career or looking to grow into operations, billing, and executive support. We are looking for a candidate who is highly organized, eager to learn, and comfortable working with working in a high paced environment.Key Responsibilities:
Billing & Financial Support Assist with preparing and processing invoices for consulting services, training programs, and events Monitor accounts receivable and conduct professional email outreach for outstanding invoices Communicate clearly and professionally with clients regarding billing questions or past-due balances Process credit card payments over the phone with accuracy and attention to confidentiality Maintain organized and accurate billing records and documentation Learn and effectively use internal billing and financial systems Executive & Operational Support Provide day-to-day operational support to the Chief of Staff across administrative, training, and project-based work Track and manage training registrations, ensuring accuracy in attendee data and coordination of program details Support the planning and execution of company events and summits, including the First Amendment, Technology, and Use of Force Summits Assist with event logistics such as registration tracking, attendee coordination, materials preparation, and follow-up communications Leverage tools such as Airtable to support data management, reporting, and promotional email campaigns Support scheduling, internal coordination, and cross-team communication Prepare and format professional documents, reports, and correspondence General Administrative Duties Organize and maintain digital files, case-related documents, and internal records with a high level of accuracy and confidentiality Assist with data entry, tracking, and basic reporting across billing, training, and operational workflows Provide quality control by reviewing documents, invoices, and records for accuracy and completeness Support shared inboxes or communications to ensure timely and professional responses Assist with onboarding and administrative setup for clients, agencies, and training participants Identify opportunities to improve organization and efficiency within administrative and operational processesQualifications:
0-3 years of experience in administrative, billing, or support roles (or relevant internship experience) High school diploma or equivalent required; Associate's or Bachelor's degree preferred. Strong attention to detail and organizational skills Comfortable learning and using new technology platforms and systems Proficiency in Microsoft Office Applications Strong written and verbal communication skills Ability to manage multiple tasks and stay organized in a fast-paced environment Reliable, proactive, and willing to learnWhat We're Looking For:
