Job Summary We are seeking a dynamic and highly organized Executive Assistant to join our team! This vital role offers the opportunity to support senior leadership by managing a wide range of administrative and office management tasks. Responsibilities Manage complex calendars, schedule appointments, and coordinate meetings efficiently using productivity software such as Microsoft Office and Google Workspace. Handle incoming calls via multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills. Prepare, proofread, and organize documents, reports, spreadsheets, and correspondence with accuracy and attention to detail. Maintain organized filing systems—both digital and physical—and perform data entry tasks with precision using computer literacy skills. Assist with bookkeeping tasks including invoicing, expense tracking, and basic QuickBooks management to ensure financial accuracy. Support client communication efforts by managing email correspondence, scheduling follow-ups, and providing exceptional customer support. Perform front desk duties such as greeting visitors, managing office supplies inventory, and ensuring a welcoming environment for all guests. Requirements Proven experience in office management or administrative support roles with strong clerical skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and productivity software. Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment. Strong computer literacy including data entry, document proofreading, and file management. Exceptional communication skills—both verbal and written—with a professional phone manner and phone etiquette. Bilingual abilities are highly desirable to assist diverse client needs. Experience with multi-line phone systems, calendar management, bookkeeping (QuickBooks preferred), and front desk operations is preferred. $24.00 - $29.00 per hour
