Full Job Description Job Summary/Company :
Sparks Group has partnered with a respected local financial institution that is seeking an experienced Executive Assistant to support its Chief Executive Officer and Leadership Team. This role plays a critical part in ensuring executive effectiveness through high-level administrative support, strategic coordination, and operational oversight. This role focuses on supporting the CEO and Leadership Team through professional logistics and coordination, strategic execution, and operational support. The Executive Assistant builds a high level of trust, understands executive and organizational priorities, supports corporate calendar planning, and manages high-stakes meetings and communications with senior leaders, Board members, and committee volunteers. The role also maintains primary oversight of facility operations, ensuring the maintenance and long-term preservation of corporate assets. The ideal candidate is a self-motivated, professional, and creative problem-solver with strong organizational and logistical skills, exceptional attention to detail, and the ability to handle highly confidential information with discretion.
Responsibilities :
Organize and manage calendars for the CEO and Leadership Team, proactively resolving conflicts Plan and coordinate Board and Board Committee meetings, including agendas, schedules, and materials (distributed one week in advance) Attend Board and Committee meetings and prepare meeting minutes Coordinate meeting logistics, including rooms and food and beverage arrangements Track action items and ensure follow-up and execution post-decision Serve as a professional point of contact for senior internal and external stakeholders, maintaining updated contact lists Greet scheduled visitors and manage unscheduled visitors as needed Maintain reports, minutes, exhibits, trackers, files, shared drives, and Board portal resources Provide onboarding and ongoing support to Board Directors and volunteers Assist with travel arrangements, expense tracking, and expense reports for the Board and Leadership Team Develop and edit presentations and draft executive communications as requested Translate materials between English and Spanish as needed Oversee procurement and maintenance of office furniture and supplies Serve as a liaison with building maintenance and security teams Perform additional duties as assigned by the
CEO Qualifications/Background Profile :
Willingness to work Eastern Time Zone business hours; light after-hours email, Teams, or text use expected Bachelor's degree required; MBA and project management experience a plus 5-7 years of professional experience supporting senior executives and strategic initiatives Prior experience in a financial institution preferred Bilingual English/Spanish verbal and written skills required - This job is In-Person.
Pay Range:
Hourly $33.00 to $36.00 We offer several comprehensive benefits package including health and life insurance, paid and unpaid time off, and retirement and savings plans to qualifying employees.
