Job Description
Overview We are seeking a dynamic and highly organized Executive Assistant to join our team and support our executive director with efficiency and professionalism. This vital role involves managing complex calendars, coordinating meetings, handling correspondence, and ensuring smooth daily operations. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for providing outstanding administrative support to help our executives achieve their goals. This paid position offers an exciting opportunity to be an integral part of a fast-paced, growth-oriented environment. You will be working directly with the Executive Director to ensure tasks are completed in a timely manner. you must have the ability to work fast, and have great management skills. Responsibilities Manage and maintain detailed calendars, scheduling appointments, meetings, and travel arrangements with precision. Serve as the first point of contact for internal and external communications via phone, email, and in-person inquiries, demonstrating excellent phone etiquette and customer service skills. Prepare, proofread, and organize documents, reports, presentations, and correspondence using Microsoft Office Suite including Word, Excel (Spreadsheets), and other productivity software. Coordinate logistics for meetings and events, including venue arrangements, catering, technical setup, and attendee communication. Handle data entry tasks with accuracy using computer literacy skills; maintain filing systems both electronically and physically. Assist with office management duties such as supply inventory, equipment maintenance, and front desk responsibilities to ensure a professional environment. Support calendar management for executive director by prioritizing commitments and managing time effectively to maximize productivity. Utilize QuickBooks for basic financial record keeping when necessary; process invoices or expense reports as needed. Provide personal assistant support including task prioritization, reminders, and confidential information handling with discretion. Skills Proven experience in office management or administrative roles with strong clerical skills. Exceptional organizational skills with the ability to multitask efficiently in a fast-paced setting. Proficiency in Microsoft Office (Word, Excel/Spreadsheets), productivity software, and general computer literacy. Excellent communication skills in both verbal and written forms; bilingual abilities are a plus for client interaction. Experience with multi-line phone systems and phone communication etiquette to handle inquiries professionally. Strong data entry capabilities along with proofreading skills to ensure accuracy in all documents. Familiarity with QuickBooks or similar accounting software is advantageous for financial tasks. Demonstrated ability to manage calendars effectively while maintaining flexibility for changing priorities. Customer service experience that emphasizes professionalism and positive client interactions. Technical proficiency in office equipment such as printers, scanners, and conference technology.
