This individual plays a vital role in advancing the mission of the school through effective communication, exceptional organization, project coordination, and professional representation of the Head of School's office. The Executive Assistant must demonstrate spiritual maturity, discretion, initiative, flexibility, and the ability to manage multiple priorities in a dynamic Christian school environment. This position requires strong interpersonal skills and the ability to interact professionally and graciously with students, parents, faculty, staff, board members, church leadership, donors, and community partners. Mission Alignment & Spiritual Qualifications The Executive Assistant shall: Publicly profess faith in Jesus Christ as Lord and Savior Demonstrate a mature and growing Christian faith in daily life and work Attends SRC Church or other approved church Model Christ-like character, professionalism, humility, and servant leadership Support and uphold the mission, vision, values, and statement of faith of the school Demonstrate the fruit of the Spirit in all interactions and responsibilities Maintain confidentiality, integrity, and biblical wisdom in all matters Essential Responsibilities Executive Support Provide comprehensive executive-level support to the Head of School Manage and coordinate the Head of School's calendar, appointments, meetings, travel, and daily priorities Prepare correspondence, reports, presentations, agendas, minutes, and confidential documents Anticipate administrative needs and proactively manage tasks and deadlines Coordinate logistics for meetings, events, interviews, and school functions Facilities requests and reserving on-site facilities for meetings, events, etc. Assist the Head of School with strategic initiatives and special projects Maintain organized and accurate records, files, databases, and reports Perform additional duties and special projects as assigned Communication & Relationship Management Serve as the primary administrative liaison for the Head of School's office Professionally manage incoming phone calls, emails, visitors, and requests Facilitate communication between the Head of School and parents, faculty, staff, board members, and church leadership Draft and edit professional communications on behalf of the Head of School Maintain a welcoming, professional, and service-oriented office environment Support prospective family engagement and school hospitality efforts Coordinate meetings/family interviews with prospective new families via phone and/or email Board & Governance Support Coordinate School Board and committee meetings, including scheduling, agendas, meeting materials, minutes, and refreshments/meals and beverages needed Maintain confidential board records and documentation Assist with communication and follow-up related to governance matters Support collaboration between the school and church leadership as applicable Advancement & Donor Relations Compose and send thank you letters to donors Communicate with the Director of Development and Communications as needed Professional Qualifications Bachelor's degree preferred; associate degree or equivalent experience considered Minimum of 3-5 years of executive administrative experience preferred Experience in a Christian school, nonprofit, ministry, or educational environment strongly preferred Exceptional organizational, multitasking, and time-management skills Excellent verbal, written, and interpersonal communication skills High level of professionalism, discretion, and confidentiality Ability to work independently while managing multiple priorities Strong attention to detail and follow-through Proficiency in Microsoft Office Suite, Google Workspace, and office technology systems Ability to learn and effectively use school management software such as FACTS Knowledge of Florida school scholarship programs, including Step Up for Students, preferred Personal Characteristics The successful candidate will demonstrate: A servant-hearted and ministry-minded approach Emotional maturity and sound judgment Initiative, adaptability, and problem-solving ability Professional presence and relational warmth Calmness under pressure and flexibility in a fast-paced environment A commitment to excellence in Christian education Physical Requirements Ability to sit, stand, walk, and operate office equipment for extended periods Ability to lift and carry light office materials as needed Ability to participate in occasional evening or special events Work Environment This position operates in a professional Christian school setting serving approximately 540 students in PreK through 8th grade.
