The ideal candidate is organized, dependable, and proactive, with strong judgment and the ability to manage shifting priorities. This role combines executive support, office administration, and event coordination to help our team serve older adults and their families. Key Responsibilities Office Operations Manage office supplies, purchasing, vendors, deliveries, and maintenance needs. Organize mail, correspondence, records, and digital files. Maintain calendars, deadlines, recurring tasks, and administrative checklists. Prepare meeting materials and maintain reliable systems that keep the office running efficiently. Executive Support Manage the CEO's appointments, reminders, correspondence, and follow-up. Track projects, prioritize assignments, and turn discussions into clear action items and timelines. Draft, proofread, and format letters, reports, presentations, and other business materials. Handle sensitive business, employee, and client information with discretion. Anticipate needs and follow assignments through to completion. Meetings and Events Coordinate logistics for meetings, educational programs, support groups, and community events. Manage invitations, registrations, venues, supplies, catering, technology, and materials. Maintain event timelines and ensure preparation and follow-up are completed. Communicate professionally with community partners, vendors, clients, and guests. Technology and Process Improvement Use Microsoft Office, shared files, electronic forms, and other business platforms. Maintain digital templates and workflows that improve organization and efficiency. Learn new systems and adapt to changing priorities and office needs. Qualifications Several years of experience in executive assistance, office management, administration, or business operations. Strong organization, prioritization, time management, and attention to detail. Excellent written and verbal communication skills. Sound judgment, discretion, and consistent follow-through. Ability to work independently, manage multiple assignments, and take initiative. Proficiency with common office technology and willingness to learn new systems. Experience supporting an executive or small-business leadership team and coordinating meetings or events is strongly preferred.
