This role is vital in managing schedules, coordinating communications, and handling a variety of administrative tasks with professionalism and enthusiasm. The ideal candidate will demonstrate exceptional organizational skills, strong computer literacy, and a proactive attitude to keep the office running efficiently. Bilingual abilities are a plus, as is experience in office management, customer service, and clerical support. Duties Manage complex calendars, schedule meetings, and coordinate appointments for executives and team members. Handle incoming calls using multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette. Prepare, proofread, and distribute correspondence, reports, and presentations with attention to detail. Maintain organized filing systems—both digital (Google Workspace, Microsoft Office) and physical—to ensure quick retrieval of documents. Assist with data entry, bookkeeping tasks using QuickBooks, and basic office accounting procedures. Serve as the front desk receptionist—greeting visitors, managing mail distribution, and overseeing general office operations. Support various administrative projects including proofreading documents, managing travel arrangements, organizing events, and supporting personal assistant duties as needed. Provide exceptional customer service by supporting client inquiries via phone or email promptly and professionally. Oversee office supplies inventory and coordinate maintenance or repairs to ensure a well-functioning workspace. Prioritize tasks effectively through excellent time management skills to meet deadlines in a fast-paced environment. Qualifications Proven experience in an administrative or clerical role with at least some office management responsibilities. Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Calendar), and familiarity with data entry software such as QuickBooks. Excellent organizational skills with the ability to multitask efficiently while maintaining accuracy. Bilingual abilities are highly desirable to support diverse client interactions and internal communications. Experience working as a receptionist or medical/dental receptionist is a plus; familiarity with multi-line phone systems is essential. Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities. Ability to handle confidential information discreetly with integrity. Strong typing skills combined with proofreading capabilities for high-quality document preparation. Knowledge of office equipment operation including fax machines, scanners, and photocopiers; experience in bookkeeping or basic accounting preferred.
