Schedule:
Full-time. Hours and workdays will vary depending on meetings, property tours, podcast recordings, business needs, travel, and scheduled events. Some evenings and weekends will be required. Job Description Mark Oliver is seeking a highly organized, dependable, and proactive Executive Assistant to work directly alongside him and help manage his daily schedule, business responsibilities, meetings, and special projects. Mark's operations include real estate, more than 80 apartment units, The Mark Oliver Show, private schools, nonprofit programs, group homes, event venues, entertainment projects, and community initiatives. This is a fast-paced, hands-on position for someone who can perform well under pressure, meet short deadlines, learn multiple areas of business at once, and make sure important details do not get overlooked. The Executive Assistant will work closely with Mark's Videographer and Social Media Content Creator. Both positions will assist Mark directly and work together during meetings, property tours, podcast recordings, events, travel, and special projects. Responsibilities Manage Mark's calendar, meetings, appointments, calls, interviews, and daily schedule. Schedule and confirm apartment tours, venue tours, podcast interviews, property visits, and business meetings. Attend meetings, take detailed notes, track action items, and follow up with team members. Research podcast guests, properties, vendors, business contacts, and potential opportunities. Prepare guest summaries, interview questions, meeting briefs, and background information. Coordinate with property management, vendors, employees, podcast guests, and business partners. Assist with media requests, press releases, announcements, and interview scheduling. Help manage event venue inquiries, tours, bookings, and follow-ups. Run approved business and personal errands and pick up equipment, documents, supplies, or other materials. Assist with podcast, filming, property, and event setup when needed. Capture basic phone or camera footage when an unexpected content opportunity arises. Use ChatGPT, Codex, and other AI tools for research, writing, organization, scheduling, and workflow improvement. Help keep Mark organized, prepared, on schedule, and aware of important deadlines. Qualifications Highly organized, detail-oriented, dependable, and punctual. Able to work under pressure and adjust when priorities change. Strong communication, note-taking, follow-up, and time-management skills. Comfortable handling confidential personal and business information. Experience using ChatGPT and Codex. Fast learner who can manage several responsibilities at once. Valid driver's license and reliable transportation. Willingness to travel locally throughout the Tampa Bay area. Flexible availability for occasional evenings, weekends, and events. Ability to occasionally assist with moving or setting up podcast and event equipment. Previous executive-assistant, administrative, operations, real estate, media, or event experience is preferred.
