Fort Lauderdale, FL (in-office as needed, hybrid) Reports to: Principal About the Role EquiShares / Tuesday Properties, a private equity real estate firm focused on value-add investments, is seeking a highly organized Executive Assistant & Property Operations Coordinator to serve as the administrative right hand to the firm's principal. We're looking for someone organized who will build and implement the processes that keep day-to-day operations running smoothly. You'll keep a multi-property portfolio on track by managing executive administrative support and coordinating property operations: tracking violations, inspections, recertifications, and insurance renewals, and working directly with on-site property managers and outside professionals. This is a high-trust, high-visibility role for someone who thrives on organization, follows through relentlessly, and can move comfortably between executive support and hands-on property operations. Prior property experience is preferred. What You'll Do Provide comprehensive administrative support to the principal, including calendar management, email correspondence, scheduling, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace Build and implement processes and systems that keep day-to-day operations organized and running smoothly Track and coordinate property compliance across the portfolio: open violations, inspections, building recertifications, and municipal deadlines Coordinate property operations activities such as maintenance scheduling, vendor communication, and inspection follow-ups to ensure properties are well-maintained and compliant with safety standards Manage insurance renewals end-to-end, tracking policy dates, gathering documentation, coordinating certificates of insurance (COIs), and liaising with the firm's insurance professionals Work directly with on-site property managers to keep operations, maintenance, and reporting on track Maintain operational trackers, deadline calendars, and organized digital and physical files Prepare status updates and keep the principal ahead of every deadline Be available to meet in-office in Fort Lauderdale when requested What We're Looking For Proven experience as an executive assistant, assistant property manager or in administrative roles, with a strong background in office management and clerical tasks Prior experience in property or facilities management is highly desirable Highly organized, with the ability to build and implement processes that keep day-to-day operations running smoothly Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems Familiarity with bookkeeping software such as QuickBooks and basic accounting principles Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Strong communication skills with professional phone etiquette across multi-line phone systems Based in or near Fort Lauderdale and able to come in-office daily depending on schedule provided.
