Warehouse, Logistics & Executive Assistant Location:
Lakewood Ranch, Florida Job Type:
Part-Time, In Person | Approximately 30-35 hours per week
Schedule:
Monday-Friday, generally between 9:00 AM and 3:00/4:00 PM, with occasional flexibility required
Pay:
$23-$24 per hour, depending on experience

Own reliable transportation and authorization to work in the United States About the Role UPlay America is looking for an energetic, highly organized, and proactive Warehouse, Logistics & Executive Assistant to support our growing day-to-day operations. This is a hands-on role for someone who enjoys keeping things moving, staying on top of details, following up until issues are resolved, and jumping in wherever the team needs support. You will work from our warehouse and office environment, supporting daily communication, administrative priorities, logistics coordination, shipping, parts orders, inventory records, and other operational needs. You will also provide administrative and operational support to our leadership team. The ideal candidate is fluent in English and Spanish, comfortable using technology, quick to learn new software and AI tools, and able to remain calm, patient, and persistent when coordinating with customers, vendors, carriers, and internal team members. We are a collaborative, family-oriented small business, so personality matters just as much as experience. We are looking for someone positive, dependable, adaptable, and genuinely willing to help the team succeed. What You'll Do Coordinate domestic and international shipments, including carrier selection, rate comparisons, booking pickups, printing labels, and preparing shipping documentation. Manage the Parts Department, including receiving orders, picking, packing, preparing, and tracking parts shipments through UPS, FedEx, USPS, freight carriers, and other providers. Create and maintain shipping labels, bills of lading, packing lists, customs paperwork, and shipment records. Monitor parts inventory, organize stock, report low inventory, and maintain accurate inventory records. Assist with receiving, storing, inspecting, packaging, wrapping and shipping. Handle shipping claims, warranty cases, damages, delivery issues, and follow-up with carriers, customers, suppliers, and internal departments. Support the CEO and COO with administrative tasks, follow-ups, email communication, document organization, scheduling, and other operational priorities. Reply to emails professionally and promptly when needed. Update and maintain company information in the CRM system, including customer, shipment, warranty, and service records. Help maintain a clean, safe, organized, and efficient warehouse environment. Assist with machines rental preparation, warehouse projects, expos, events, and other company activities before, during, and after each event. Take on additional responsibilities as needed. What We're Looking For Minimum 4 years of administrative, logistics, warehouse, shipping, operations, or related experience.
Bilingual:
fluent English and Spanish, written and verbal. Experience coordinating domestic and international shipping is strongly preferred. Experience with CRM systems and inventory tracking tools. Strong knowledge of Microsoft Office or Google Workspace; comfortable learning new software and AI tools. Comfortable troubleshooting basic email, software, and office technology issues. Excellent organizational, multitasking, time-management, and follow-up skills. High attention to detail, especially with shipping documents, labels, inventory, and customer information. Comfortable working in both an office and warehouse setting. Able to safely lift and move boxes, parts, and materials as needed. High school diploma or equivalent required; additional training or certifications are a plus. Must be legally authorized to work in the United States. Own reliable transportation.
