Executive Assistant Clinical Director 3.3 3.3 out of 5 stars 125 East Nasa Boulevard, Melbourne, FL 32901 $95,000 a year - Full-time Kaleidoscope Interventions 20 reviews $95,000 a year - Full-time Job Summary We are seeking a highly organized and proactive Executive Assistant Clinical Director in managing complex clinical operations, administrative functions, and strategic initiatives within a dynamic environment. The ideal candidate will possess exceptional communication skills, a strong understanding of Applied Behavior Analysis systems, and the ability to navigate diverse clinical and educational settings with energy and precision. Responsibilities Quality Assurance & Clinical Excellence Design, implement, and maintain quality assurance systems across all ABA programs Conduct regular audits of clinical programming, data collection, treatment integrity, and documentation Monitor adherence to evidence-based practices and organizational standards Identify trends, gaps, and opportunities for continuous quality improvement Partner with leadership to develop and execute quality improvement initiatives Performs other duties as assigned Auditing & Compliance Conduct routine and random audits of clinical records, session notes, and treatment plans Ensure compliance with payer requirements, authorization parameters, and billing standards Monitor adherence to regulatory, ethical, and organizational policies Collaborate with billing and operations teams to ensure accuracy and integrity of service delivery documentation Prepare audit reports and provide actionable recommendations Performs other duties as assigned Staff Performance, Coaching & Mentorship Provide ongoing coaching and mentorship to BCBAs to strengthen clinical decision-making, supervision, and leadership skills Support RBT performance through collaboration with supervising BCBAs Conduct performance feedback sessions aligned with organizational KPIs Assist in developing Performance Improvement Plans when needed Promote a culture of accountability, growth, and professional development Performs other duties as assigned KPI Accountability & Performance Management Monitor and track key performance indicators (KPIs) for BCBAs and RBTs (e.g., supervision compliance, data integrity, session utilization, documentation timeliness) Analyze performance data to identify trends and inform decision-making Hold staff accountable to performance expectations through structured feedback systems Collaborate with leadership to refine and operationalize performance metrics Performs other duties as assigned Training & Development Support onboarding and ongoing training initiatives for clinical staff Develop and deliver training related to quality standards, compliance, and best practices Assist in building scalable systems for staff competency development Performs other duties as assigned Strategic & Operational Support Act as a liaison between the Executive Clinical Director and clinical teams Support implementation of organizational initiatives and strategic priorities Participate in leadership meetings and contribute to decision-making processes Lead or support special projects as assigned Performs other duties as assigned Qualifications Board Certified Behavior Analyst (BCBA) in good standing Master's degree in applied Behavior Analysis, Psychology, or related field PhD level in Applied Behavior Analysis, Psychology or related discipline preferred Minimum of 10 years of experience in ABA service delivery Minimum of 5-7 years of leadership and supervisory experience Strong knowledge of payer requirements, documentation standards, and compliance regulations Demonstrated experience in staff coaching, performance management, and systems development If you feel as though you would be the ideal candidate and meet the required qualifications, apply today!
