Executive Administrative Assistant - Private Wealth Management Miami, FL (On-Site | Local Candidates Only) $31.25/hour Fluency in Spanish is required and will be assessed during the interview process. Join a high-performing Private Wealth Management team supporting top financial advisors in a fast-paced, client-focused environment. This role is ideal for an experienced Executive Administrative Assistant who thrives on managing complexity, supporting senior stakeholders, and delivering exceptional service to both internal leaders and high-net-worth clients. Key Responsibilities Executive & Client Support Serve as a trusted administrative partner to senior advisors and their teams Provide seamless day-to-day support in a high-volume, fast-paced environment Manage competing priorities while anticipating needs and proactively resolving challenges Calendar, Meetings & Communications Oversee complex, highly detailed calendars, including senior-level internal and external meetings Coordinate client calls, meetings, and events with a high level of precision and professionalism Act as a key point of contact for communications, managing high volumes of calls and inquiries from clients and business leaders Travel & Logistics Coordinate frequent domestic and international travel, including detailed itineraries and visa requirements Prepare and manage expense reports accurately and in a timely manner Operations & Office Support Prepare and distribute reports, correspondence, and presentation materials Support onboarding of new team members in partnership with business leadership Assist with office operations, event coordination, and client material distribution Confidentiality & Compliance Handle highly sensitive client and business information with discretion and sound judgment Maintain adherence to internal policies and compliance requirements Qualifications 5+ years of experience supporting senior executives or advisors in financial services, private banking, or a complex corporate environment Fluency in Spanish (written and verbal) is required Proven ability to manage complex calendars and high-volume workflows independently Strong communication skills with a professional presence when interacting with senior leaders and clients Exceptional attention to detail, organization, and follow-through Ability to remain composed under pressure and adapt in a dynamic, deadline-driven environment Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) Experience with expense platforms such as Concur preferred What Sets You Apart You anticipate needs and act proactively with minimal direction You excel in high-touch, client-facing environments You bring professionalism, discretion, and strong business judgment to everything you do Why This Role Opportunity to support top advisors within a respected Private Wealth Management environment High exposure to senior stakeholders and client interactions Fast-paced, team-oriented setting with meaningful impact
