This is a high-trust, high-impact role for someone who thrives in ambiguity, moves fast, and wants a front-row seat to how a growing company operates. You'll wear many hats, adapt as priorities shift week to week, and play a direct role in keeping the CEO focused on what matters most. Key Responsibilities Calendar & Time Management Own a fast-moving, frequently shifting calendar; ruthlessly prioritize what deserves the CEO's time Prepare CEO for back-to-back meetings with quick-turn briefing notes and context Build in buffer and protect focus time in a schedule that's constantly in flux Communication & Correspondence Draft and manage correspondence, including investor updates, partner emails, and internal comms Act as a filter and first point of contact for inbound requests
  • knowing what needs the CEO's attention now, later, or not at all Liaise with vendors, customers and early team members on the CEO's behalf Project Management Ownership Own our company's central project management software system
  • boards, cards, labels, and workflows Ensure all stakeholders (leadership, team members, and relevant external partners) are actively and correctly using the software
  • not just set up on it Train new and existing team members on best practices; troubleshoot and correct misuse as it comes up Audit boards regularly to keep them accurate, up to date, and genuinely useful
  • not just a graveyard of stale cards Translate the CEO's priorities into clear, trackable cards and follow up to ensure movement Flag stalled projects or bottlenecks visible in the software directly to the CEO Travel & Logistics Coordinate travel (often booked on short notice) for fundraising trips, conferences, and customer visits Track and reconcile expenses without a big back-office team to lean on Meeting & Event Support Prepare materials for meetings Help organize team off-sites, all-hands, and ad hoc events as the company scales Take notes in key meetings and drive follow-up on action items, logging them in project management software Project & Office Management Jump into special projects wherever the company needs extra hands•this role isn't confined to a narrow job description Help stand up light operational processes as the company grows (there often isn't one yet•you may be building it) Manage the Miami office day-to-day on in-office days (supplies, vendors, ad hoc logistics) Confidentiality & Judgment Handle sensitive information (fundraising, personnel, strategy) with complete discretion Exercise strong judgment representing the CEO's voice and priorities, often with limited guidance Qualifications Required 3+ years of experience as an EA, chief of staff, or similar role; startup experience strongly preferred Hands-on experience with Trello, Notion or similar project management tools (Asana, Monday.
com); comfortable owning a system end-to-end, not just using one Excellent written and verbal communication Comfortable with ambiguity, fast pivots, and a role that evolves as the company does Strong tech fluency; picks up new tools quickly Impeccable discretion
