Job Description

We are looking for an Executive Assistant to provide high-level administrative support in Palmetto Bay, Florida. This role is ideal for someone who is organized, proactive, and confident managing shifting priorities in a fast-paced environment. The successful candidate will help keep executive schedules, meetings, and travel plans running smoothly while supporting day-to-day business operations. Preference for a candidate that has experience in the education, government, or foundation industry.
Responsibilities:
  • Manage complex executive calendars, resolve scheduling conflicts, and ensure appointments are prioritized effectively.
  • Arrange domestic and international travel, including flights, lodging, ground transportation, and itinerary preparation.
  • Coordinate meeting logistics by securing conference rooms, preparing agendas, and confirming attendee availability.
  • Support executives with day-to-day administrative tasks to improve efficiency and maintain organization across activities.
  • Track schedule changes and communicate updates promptly to internal and external stakeholders.
  • Prepare and organize materials needed for executive meetings, presentations, and business discussions.
  • Maintain accurate records related to travel plans, meeting schedules, and administrative correspondence.
