Executive Assistant A prestigious and fast-paced hospitality organization is seeking a polished, highly organized, and proactive Executive Assistant to support the CEO. The Executive Assistant will serve as a trusted partner to senior leadership, helping drive daily operations, executive communications, strategic initiatives, and board-level coordination. This individual will interact regularly with high-profile stakeholders, ownership groups, guests, and internal departments while maintaining the highest standards of confidentiality and service excellence. Key Responsibilities Serve as the primary point of contact for the CEO's office, ensuring all communications and interactions are handled professionally and confidentially. Manage complex executive calendars, including meetings, travel arrangements, itineraries, and special events. Coordinate executive communications, prioritize incoming requests, and facilitate timely follow-up actions. Prepare, edit, and distribute polished correspondence, presentations, reports, and meeting materials. Support executive leadership initiatives and collaborate cross-functionally with department heads and senior management. Maintain confidential records, files, contracts, and operational documentation with accuracy and discretion. Organize and coordinate executive meetings, leadership retreats, and strategic planning sessions. Assist with expense tracking, invoice approvals, budget reporting, and office administration. Manage conference room scheduling, board of directors arrangements, and executive office logistics. Lead or support special projects and operational initiatives on behalf of executive leadership. Identify opportunities to improve workflows, communication processes, and administrative efficiency. Assist with preparation of board and committee meeting agendas, materials, minutes, and presentations. Maintain executive and board calendars, reporting timelines, and governance documentation. Coordinate travel, accommodations, and logistics for board members, executives, and VIP guests. Support onboarding and orientation of new board members or executive stakeholders. Maintain board portals, executive contact lists, and confidential governance records. Serve as a professional liaison between executive leadership, ownership groups, guests, vendors, and internal teams. Handle sensitive guest matters and executive-level requests with professionalism and urgency. Support leadership communication initiatives and guest experience programs. Assist with special events, executive functions, and VIP hospitality coordination. Qualifications Bachelor's degree preferred in Business Administration, Hospitality Management, Communications, or a related field; equivalent experience considered. Minimum of 5+ years of executive administrative support experience, preferably within hospitality, luxury services, hotels, resorts, private clubs, or a fast-paced corporate environment. Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously. Ability to keep electronic files up to date and easily accessible. Strong written and verbal communication skills with a polished and professional presence. Demonstrated ability to handle confidential information with discretion and sound judgment. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with scheduling and collaboration platforms preferred. Ability to work independently, anticipate needs, and proactively solve problems in a fast-paced environment. Flexibility to support occasional evening, weekend, or emergency operational needs when required. High attention to detail and commitment to excellence. Strong interpersonal skills with a hospitality-first mindset. Ability to build effective relationships across all levels of the organization.
